Job summary

University of Technology Sydney (UTS) in Sydney's city centre is seeking an experienced Executive Assistant to support up to three senior leaders within the Faculty of Health. You will manage complex diaries, coordinate meetings, travel, committees and events, and handle sensitive information with discretion.

Qualifications

  • Extensive experience providing high-level executive support to senior leaders.
  • Experience working with internal and external stakeholders at all organisational levels.
  • Experience using systems and technology for procurement, expense reporting and HR processes in a large, complex organisation.
  • Experience in a university environment is highly regarded.

Responsibilities

  • Manage complex diaries, meetings, agendas, papers, minutes, action items and follow-up activities.
  • Draft and coordinate correspondence, reports, briefings and other documentation, responding to enquiries and escalating emerging matters.
  • Arrange travel, itineraries, approvals and expense acquittals, and ensure documentation is complete before submission.
  • Provide committee and administrative support, including records, purchasing, invoices, credit card reconciliations and HR-related processes.
  • Coordinate internal and external communications, events, stakeholder engagements and projects.
  • Use technology to streamline workflows, protect confidential information and provide back-up executive support when required.

The faculty operates primarily from the UTS City Campus, with various disciplines within the School of Human Performance, Rehabilitation and Population Health based at the UTS Moore Park sports precinct.

About the Team

The position will join the Executive support team in the Faculty of Health, a collaborative Faculty environment that supports senior leaders and works closely with academic and professional staff across UTS. The team values responsive service, open communication and shared success.

About the Role

The Executive Assistant provides high-level support to up to three senior leaders. You will coordinate complex diaries, communications, meetings, travel, committees, events and projects, helping the Faculty operate efficiently in a fast-paced environment.

About You

You are a proactive, organised and service-focused executive support professional who exercises sound judgement, manages competing priorities calmly and builds trusted relationships. You communicate with confidence, work collaboratively and handle sensitive matters with discretion.

Role Responsibilities
  • Manage complex diaries, meetings, agendas, papers, minutes, action items and follow-up activities.
  • Draft and coordinate correspondence, reports, briefings and other documentation, responding to enquiries and escalating emerging matters.
  • Arrange travel, itineraries, approvals and expense acquittals, and ensure documentation is complete before submission.

Skills, attributes and knowledge
  • Strong organisation, time management, analytical and problem-solving skills, with the ability to deliver accurate work under pressure.
  • Excellent written and verbal communication skills, including preparing clear correspondence, reports and presentations for senior stakeholders.
  • High-level proficiency in Microsoft Office, including Copilot, PowerPoint, Excel and Word, with confidence using enterprise systems and emerging technologies.
  • Initiative, sound judgement, negotiation skills and the ability to work independently while contributing positively to a team.
  • Strong knowledge of executive administration, office management and schedule optimisation in a complex organisation.
  • Discretion, diplomacy and sensitivity when managing confidential and complex matters.
Experience
  • Extensive experience providing high-level executive support to senior leaders.
  • Demonstrated experience working with internal and external stakeholders at all organisational levels.
  • Experience using systems and technology for procurement, expense reporting and HR processes in a large, complex organisation.
  • A degree with relevant experience, extensive specialist or administrative experience, or an equivalent combination of education, training and experience. Experience in a university environment is highly regarded.
Remuneration

Base Salary Range: $101,262 - $109,641 (HEW 6) plus 17% superannuation (pension)

The position is full time and will be made on a continuing basis.
