Job summary

Ashley Services Group is seeking a proactive, organised Executive Assistant to provide high-level support to our Chief Operations Officer in a fast-paced environment. You’ll manage competing priorities, coordinate meetings and travel, prepare presentations, support projects and ensure seamless administration.

This role offers a varied, rewarding path for someone who is discreet, professional and naturally proactive, with strong MS Office skills and a calm, proactive presence.

Qualifications

  • Strong diary, meeting, document and event coordination abilities.
  • Ability to coordinate travel, meetings and provide executive support.

Responsibilities

  • Executive Diary & Inbox Management – manage schedules and priorities.
  • Travel Coordination – plan itineraries and logistics.
  • Meeting & Event Coordination – organise meetings, rooms and attendees.
  • First Point of Contact – respond professionally to enquiries.
  • Project Support – assist with documentation and coordination.
  • Executive Administration & Reporting – prepare reports and communications.
  • Social & Corporate Events – coordinate team events end-to-end.
  • HR Support – assist across HR activities.
  • Ad-Hoc Executive Support – handle emerging priorities as needed.

The Opportunity

We’re seeking a proactive, organised and solutions-focused Executive Assistant to provide high-level support to our Chief Operations Officer in a fast-paced and dynamic environment.

You’ll play a key role in managing competing priorities, coordinating meetings and travel, preparing presentations, supporting projects and ensuring communication and administration run seamlessly.

Roles and responsibilities of this Executive Assistant include but is not limited to:
  • Executive Diary & Inbox Management– expertly managing schedules, priorities and correspondence to keep everything running smoothly.
  • Travel Coordination– planning and coordinating seamless travel arrangements, itineraries and logistics.
  • Meeting & Event Coordination– organising meetings, booking rooms, coordinating attendees and ensuring everything is prepared for a successful meeting.
  • First Point of Contact– providing a professional and welcoming first point of contact for internal and external enquiries.
  • Project Support– assisting with project documentation, coordination and administrative requirements to keep initiatives progressing.
  • Executive Administration & Reporting– preparing reports, presentations, correspondence and other high-quality documentation.
  • Social & Corporate Events– coordinating engaging team and social events from planning through to execution.
  • HR Support– providing administrative assistance across a range of HR-related activities and initiatives.
  • Ad-Hoc Executive Support– stepping in to manage emerging priorities, solve problems and provide trusted support wherever needed.
As the Executive Assistant, you need:
  • Exceptional organisation and time-management skills, with the ability to juggle competing priorities.
  • Outstanding communication and relationship-building skills when dealing with executives, staff, visitors, VIPs and external stakeholders.
  • Impeccable attention to detail and a proactive, solutions-focused approach.
  • Confidence managing confidential and privileged information with absolute discretion.
  • Strong diary, meeting, document and event coordination skills.
  • A calm, professional presence and the ability to stay one step ahead.
  • Advanced skills in Microsoft Office, including Word and PowerPoint.
