MJD Recruitment is seeking an experienced Executive Assistant to join a leading global professional services organisation on a 12-month maternity leave contract in Sydney. You will provide proactive support across complex diaries, travel, stakeholder management and broader priorities.

Supporting three senior Partners, you will be their trusted right hand, ensuring seamless operations and meticulous organisation across domestic and international travel, meetings and business initiatives.

Qualifications

  • Experience supporting senior executives in professional services or fast-paced corporate environments.
  • Strong diary and travel management experience.
  • Excellent organisational and time management skills.
  • Confidence engaging with senior internal and external stakeholders.
  • Strong written and verbal communication skills.
  • Exceptional discretion when handling confidential information.
  • A proactive, solutions-focused approach with ownership.
  • Strong MS Office skills and ability to work across systems.

Responsibilities

  • Proactively manage complex diaries across three Partners, balancing meetings and priorities.
  • Coordinate domestic and international travel with detailed itineraries.
  • Act as a key contact for stakeholders, building relationships at all levels.
  • Manage inboxes, prioritise requests, and escalate when needed.
  • Prepare meeting materials, presentations, and reports.
  • Coordinate expenses and general admin duties.
  • Ensure Partners are prepared for meetings with proactive planning.
  • Support leadership meetings, events, and team initiatives.
  • Assist with ad hoc projects and process improvements.
  • Collaborate with the EA and business support team for seamless office support.

The Role
  • Proactively manage complex and ever-changing diaries across three Partners, balancing meetings, deadlines and competing priorities.
  • Coordinate domestic and international travel, including detailed itineraries, accommodation and associated arrangements.
  • Act as a key point of contact for internal and external stakeholders, building strong relationships across all levels of the business.
  • Manage inboxes and incoming requests, using sound judgement to prioritise, action and escalating where appropriate.
  • Prepare meeting materials, presentations, reports and other documentation as required.
  • Coordinate expenses, reconciliations and general administrative requirements.
  • Ensure Partners are well prepared for meetings, key commitments and upcoming priorities through proactive planning and follow-up.
  • Assist with leadership meetings, events, off-sites and broader team initiatives.
  • Support ad hoc projects and business initiatives, identifying opportunities to improve processes and ways of working.
  • Collaborate closely with the broader EA and business support team to provide seamless support across the office.

  • Confidence engaging with senior internal and external stakeholders.
  • Strong written and verbal communication skills.
  • Exceptional attention to detail and a high level of discretion when handling confidential information.
  • A proactive, solutions-focused approach with the confidence to take ownership.
  • Strong Microsoft Office skills and confidence working across different systems and technology.
