Job summary

Optus is seeking an experienced Executive Assistant to provide premium administrative support to senior leaders and help drive organisational effectiveness. The role balances complex scheduling, travel logistics, and stakeholder coordination in a dynamic technology-driven environment.

You will partner with multiple leaders, manage confidential information, and contribute to high-quality presentation materials and reports. Flexible hybrid arrangements and a vibrant office culture are offered.

Qualifications

  • Significant experience supporting senior executives in a fast-paced corporate environment.
  • Exceptional organisational skills with the ability to manage competing priorities and deadlines.
  • Highly developed interpersonal, verbal and written communication skills.
  • Strong attention to detail and a commitment to confidentiality.
  • Proficiency in Microsoft Office applications (Word, PowerPoint, Excel, Outlook).

Responsibilities

  • Provide high-level administrative and operational support to senior leaders.
  • Manage complex diaries, coordinate meetings and book rooms and services.
  • Prioritise emails and respond to key requests promptly.
  • Coordinate domestic and international travel, itineraries and approvals.
  • Manage expense claims and adhere to policies and deadlines.
  • Build relationships with internal and external stakeholders to enable collaboration.
  • Produce presentations, reports and papers with accuracy and attention to detail.
  • Support team operations including onboarding, events and procurement tasks.

What You'll Do

Partnering closely with multiple senior leaders and key stakeholders across Optus, you will be responsible for:



  • Providing high-level administrative and operational support to senior leadership team members, ensuring priorities are managed effectively.

  • Managing complex diaries, coordinating internal and external meetings, and arranging meeting rooms, catering, agendas, and supporting materials.

  • Supporting email management by prioritising communications, monitoring actions and ensuring timely responses to key requests.

  • Coordinating domestic and international travel, accommodation, itineraries and approvals in line with company policies.

  • Managing expense claims and administrative processes, ensuring compliance with relevant policies and deadlines.

  • Building strong relationships across Optus and with external stakeholders to facilitate effective collaboration and communication.

  • Producing high-quality presentations, reports, meeting papers and business documentation with accuracy and attention to detail.

  • Supporting team operations through activities such as event coordination, onboarding, organisational chart maintenance, purchase order administration, compliance tracking and broader team administration.

  • Acting as a trusted partner to leaders by proactively anticipating needs, identifying priorities and ensuring actions are completed in a timely manner.
