Outback Aussie Tours is seeking an Executive Assistant to support the General Manager in Longreach, Queensland. The role focuses on coordinating day-to-day operations, managing communications, and bringing structure to a fast-paced environment.

You will handle meetings, reports and briefing materials, assist with HR administration, recruitment and staff development, and drive strategic initiatives with the team. This is a hands-on, proactive position based on-site in Longreach.

Qualifications

  • 1–3 years' experience in a similar Executive Assistant or senior administrative role.
  • Excellent written and verbal communication.
  • Strong organisational and time-management skills.
  • Proactive and able to work autonomously with initiative.

Responsibilities

  • Provide high-level administrative and executive support to the General Manager.
  • Manage the GM's meetings, agendas, travel and related documentation.
  • Take meeting notes and track actions to ensure decisions are delivered.
  • Prepare monthly management reports with timely information.
  • Coordinate Board of Directors requirements and reporting.
  • Prepare business updates, presentations and briefing materials.
  • Conduct research to support decisions and strategic initiatives.
  • Coordinate and drive projects from initiation to completion with milestones.
  • Maintain project schedules and escalate risks or delays.
  • Provide HR administration including recruitment, onboarding, reviews and training.

Outback Aussie Tours is seeking a highly organised, proactive and personable Executive Assistant to support the General Manager and help keep the growing tourism business running smoothly behind the scenes. Based in the heart of outback Queensland, you will play a central role in supporting day-to-day business operations, coordinating priorities, managing communications and ensuring the team can continue delivering exceptional service to every guest. This is a varied, fast-paced role suited to someone who enjoys taking ownership, anticipating needs and bringing structure to a busy environment.

Key responsibilities
  • Provide high-level administrative and executive support to the General Manager, serving as a trusted, proactive first point of contact for all communications, correspondence and enquiries.
  • Manage the GM's meetings, agendas, travel, itineraries and related documentation.
  • Take meeting notes and minutes, track actions and follow up to ensure decisions and agreed outcomes are delivered.
  • Prepare and coordinate monthly management reports by collecting accurate, timely information from relevant team members and presenting it clearly.
  • Coordinate all Board of Directors requirements, including the Board Report, Major and Minor Reports, 90-Day Plans, Director travel and Board Buddy meeting preparation, ensuring all documentation and deadlines are met.
  • Assist in preparing business updates, presentations, reports and briefing materials for the GM and Board.
  • Conduct research and compile relevant information to support business decisions, planning and strategic initiatives.
  • Coordinate, monitor and drive business projects from initiation to completion, ensuring milestones, deliverables and deadlines are achieved.
  • Maintain project schedules, action registers and timelines; proactively follow up with responsible team members and escal* risks, delays and roadblocks.
  • Provide HR administration and coordination support including recruitment, onboarding, team reviews, training, development and performance management.
About you
  • 1–3 years' experience in a similar Executive Assistant, Personal Assistant, Business Administration or senior administrative role
  • Strong organisational and time management skills, with the ability to manage multiple priorities and deadlines
  • Demonstrated ability to coordinate projects, follow through on actions and drive results
  • Excellent attention to detail and a high standard of written and verbal communication
  • Ability to work autonomously, use initiative and confidently manage tasks through to completion
  • Strong interpersonal and stakeholder management skills
  • Strong computer skills, particularly Microsoft Word and Excel
  • Experience preparing reports and working with business data and information
  • Experience in tourism, travel, hospitality or transport environments is highly regarded
  • Strong commercial awareness and an understanding of the importance of customer experience and business performance

We offer river and rail tours in and around Longreach including our signature sunset cruise along the Thomson River, dinner & shows at our famously recognised Smithy's Camp, as well as train rides through our outback communities on a heritage railmotor. We also operate guided overland 4WD coach tours throughout Outback Queensland from the Corner Country all the way up to Cape York & the Gulf of Carpentaria. We also host tailored bus charters for special interest groups.
