Job summary

Burbank Group is seeking an experienced Executive Assistant to support our C-Suite leaders in a fast-paced, multi-business environment. You will manage complex calendars, coordinate meetings and travel, and act as a trusted partner across governance, communications and strategic projects.

The role spans our Altona and West Melbourne offices, offering exposure to a diverse portfolio and opportunities to leverage AI-enabled tools for enhanced efficiency, while upholding discretion and professional

Qualifications

  • Previous Executive Assistant experience supporting senior leaders or C-Suite.
  • Proven ability to manage complex calendars, meetings and travel.
  • Advanced MS 365 skills and strong written/verbal communication.
  • Demonstrated discretion with confidential information and sources.

Responsibilities

  • Support governance, compliance and document management activities.
  • Assist with business projects and strategic initiatives.
  • Build strong relationships with internal and external stakeholders.
  • Leverage technology and AI-enabled tools to improve efficiency.
  • Coordinate meetings, leadership forums, travel and events.
  • Prepare presentations, reports, agendas and briefing materials.
  • Take minutes and follow up on key actions and deliverables.

At Burbank Group, we're looking for an experienced Executive Assistant who thrives in a fast-paced environment and enjoys building strong relationships with senior leaders.

This newly created role supports our Chief Corporate Services Officer, CEO, CFO and COO. You'll play a critical role in keeping our leadership team organised, connected and operating at their best. This is far more than diary management. You'll become a trusted business partner who helps coordinate priorities, manage communications, drive projects and contribute to key initiatives across the Group.

As part of the role, you'll work across our Altona and West Melbourne offices, supporting a diverse portfolio of businesses that make up the Burbank Group.

About You

You'll be a highly organised professional who enjoys working at pace and can confidently manage competing priorities while maintaining exceptional attention to detail.

You'll Bring:
  • Previous Executive Assistant experience supporting senior executives or C-Suite leaders
  • Advanced Microsoft 365 skills across Outlook, Word, PowerPoint and Excel
  • Excellent communication and stakeholder management skills
  • Strong organisational, planning and coordination abilities
  • Interest in emerging technologies and AI-enabled tools
  • Experience managing complex diaries, meetings and travel arrangements
  • Exceptional discretion when handling confidential information
  • A proactive, solutions-focused approach
  • A current driver's licence
  • Experience supporting multiple executives within a complex or multi-business environment will be highly regarded.
