Job summary

Burbank in AU is seeking a highly organized Project Coordinator to join the Operations team at the Rose Park office. The role involves providing administrative and project coordination support across a portfolio of residential construction projects, acting as the link between customers, internal teams, councils and service providers.

You will manage documentation, approvals and communications, while coordinating contracts, deposits and permits.

Qualifications

  • Previous administration, project coordination or customer service experience.
  • Experience in residential construction, building or related industry is valued but not essential.
  • Strong written and verbal communication skills.
  • High attention to detail and ability to manage competing priorities.

Responsibilities

  • Prepare and coordinate building contracts and supporting documentation.
  • Manage customer information and project updates in internal systems.
  • Coordinate post-contract variations and communications.
  • Process deposits, insurance documentation and other contract requirements.
  • Liaise with service providers regarding utility applications and connections.
  • Coordinate compliance inspections and required documentation.
  • Assist with permits, approvals, certificates and council requirements.
  • Provide proactive updates to customers throughout their build journey.
  • Be the main contact between customers and the site team.
  • Attend meetings, record minutes and track actions.
  • Support process improvements and contribute ideas to improve efficiency.

What's the role?

As a Project Coordinator, you'll provide administrative and project coordination support across a portfolio of residential construction projects. You'll be the key link between customers, internal teams, councils, service providers and other stakeholders, ensuring communication, documentation and approvals are managed efficiently and accurately.

Key responsibilities

  • Previous administration, project coordination or customer service experience
  • Experience in residential construction, building, property or a related industry will be highly regarded but is not essential
  • Excellent organisational and time management skills
  • Strong written and verbal communication skills
  • High attention to detail and the ability to manage competing priorities
  • A proactive approach and willingness to take initiative
  • Strong Microsoft Office skills
