Job summary

Invenio in Melbourne is seeking an organised Executive Assistant to support the HR Director and the HR Leadership Team. This 12-month contract offers exposure to strategic decision-making and senior stakeholder engagement within a global automotive organisation.

Responsibilities

  • Executive Support to the HR Director, including calendar management and prioritising competing demands.
  • Coordinate domestic and international travel arrangements and expense reporting.
  • Prepare, format, and proofread correspondence, presentations, reports, and board papers.
  • Act as first point of contact for the HR Director, screening enquiries with discretion.
  • Coordinate materials for leadership meetings, town halls, and executive reviews.
  • Manage confidential information with utmost discretion and integrity.
  • Track action items and follow-ups for the HR Director.

Are you looking to launch an exciting career with a global automotive organisation?

An exciting opportunity is available for a highly organised, proactive and personable Executive Assistant to support the HR Director and provide broader coordination support to the HR Leadership Team and wider HR function. This is a 12 months contract with strong potential of on-going extension.

This is a fantastic entry point into the world of HR, offering exposure to strategic decision-making, senior stakeholder engagement and the inner workings of a high-performing HR team.

You’ll gain valuable experience while developing foundational skills that can support a long-term career in EA, business partnering, people operations or corporate support.

About the Role

Working closely with the HR Director and HR Leadership Team, you will provide high-quality executive and coordination support while helping ensure the HR function operates efficiently and effectively.

This is a varied role where you will have the opportunity to build your professional skills, work with senior stakeholders and gain practical exposure to a broad range of HR activities.

Key Responsibilities

Executive Support to the HR Director

  • Manage the HR Director's complex and dynamic calendar, proactively resolving scheduling conflicts and prioritising competing demands

  • Coordinate domestic and international travel arrangements, itineraries, and expense reporting

  • Prepare, format, and proofread correspondence, presentations, reports, and board papers

  • Act as the first point of contact for the HR Director, screening and triaging enquiries with professionalism and discretion

  • Coordinate and prepare materials for leadership meetings, town halls, and executive reviews

  • Manage confidential and sensitive information with the utmost discretion and integrity

  • Track action items and follow-ups on behalf of the HR Director, ensuring deadlines are met

About You
  • A recent tertiary qualification in Human Resources, Business Administration, Psychology, Communications, or a related field

  • Strong written and verbal communication skills

  • Excellent organisational skills with the ability to manage multiple priorities and deadlines

  • High attention to detail and a commitment to accuracy

  • Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word); experience with Teams and SharePoint is a plus

  • A professional, discreet, and mature approach to handling confidential information

  • A positive, can-do attitude with a genuine enthusiasm for building a career in HR

  • Strong interpersonal skills and the ability to build relationships with stakeholders at all levels

  • Ability to work autonomously while also thriving in a collaborative team environment
