The ideal candidate is organized, adaptable, and proactive, with a Bachelor’s degree and 3+ years of executive support, project coordination, and event planning experience.

Responsibilities

  • Effectively manage and maintain complex calendars for Product Leadership.
  • Book complex travel and manage team and executive-level expenses.
  • Create, organize, and maintain team mailing lists, folders, and drives.
  • Organize, plan, and execute team events.
  • Respond to information requests from employees and guests and connect people with resources.
  • Greet executive guests and ensure sign-in upon arrival.
  • Attend team meetings and track action items.
  • Assist with day-to-day projects.
  • Help build and improve processes and systems.
  • Drive projects and own operations of programs within the Product team.
  • Coordinate meetings and external engagements with customers and partners.
  • Lead and manage small projects within the administrative team.
  • Perform other duties as assigned.

Role Description

As an Administrative Assistant, you will be at the center of the team’s business operations and activities, providing proactive and holistic support to Engineering leadership. You will help keep the team moving forward by managing day-to-day administrative activities, supporting projects and initiatives, and coordinating with employees, customers, partners, and vendors.

The ideal candidate is organized, dependable, adaptable, and able to keep up with changing business needs while strategically supporting and prioritizing team projects.

Key Responsibilities
  • Effectively manage and maintain complex calendars for Product Leadership.
  • Book complex travel and manage team and executive-level expenses.
  • Create, organize, and maintain team mailing lists, folders, and drives.
  • Organize, plan, and execute team events.
  • Respond to questions and requests for information from employees and guests and connect people with the right resources.
  • Greet executive guests, including interview candidates and customers, and ensure guests sign in upon arrival.
  • Attend team meetings and track action items.
  • Assist with day-to-day projects.
  • Help build and improve processes and systems.
  • Drive projects and own the operations of programs and initiatives within the Product team.
  • Act as the main liaison for coordinating meetings and external engagements with customers and partners.
  • Lead and manage small projects within the administrative team.
  • Perform other duties as assigned.
Experience
  • Bachelor’s degree and 3+ years of relevant work experience.
  • Direct executive support, project management, and event planning experience.
  • Experience managing time efficiently and prioritizing multiple stakeholders, functions, and tasks.
  • Experience implementing systems, processes, or programs that increase efficiency.
  • Experience working with all levels of management, employees, vendors, and customers.
  • Experience working in large or mid-size technology companies with approximately 1,000–10,000 employees is preferred.
  • Experience supporting multiple executives is preferred.
  • Experience owning projects and programs outside of core administrative responsibilities is preferred, such as headcount, budget, or seat planning and All Hands presentations.

  • Must be legally authorized to work in Australia. Visa sponsorship is not available for this position.
  • Must be based in Sydney or able to commute to 100 Barangaroo Avenue, Level 23.01, Tower 1, Barangaroo, NSW 2000.
  • Must be available to work full-time, 40 hours per week.
  • Must be comfortable working in a hybrid environment.
  • Must be available to start ASAP (September)
