Job summary

Vanilla Blue Catering in Sydney is seeking a hands-on Logistics Coordinator & Driver to join our Events division. You'll prepare, transport and deliver catering and event equipment across multiple locations while supporting our Events team to ensure every delivery arrives safely, accurately and on time.

This full-time role offers a Monday–Friday roster with occasional weekend work. You’ll work with chefs, venues and operations teams to plan routes, manage stock and ensure WHS and food-safety

Qualifications

• 5+ years’ experience in catering, events, hospitality or logistics.
• Experience supporting medium to large events.
• Current Australian driver licence.
• Ability to work across multiple locations and coordinate with vendors

Responsibilities

• Take operational ownership of confirmed events from handover through to completion.
• Review event orders, run sheets, client requirements, venue access and timing requirements.
• Maintain event checklists and readiness, identifying equipment, stock, staffing and transport needs in advance.
• Pick, pack and check food, beverages, equipment and consumables, ensuring orders are complete and ready for dispatch on time.
• Coordinate drivers, delivery routes, vehicle requirements, loading and collections.
• Deliver catering and equipment and support event setups, pickups, bump-ins and bump-outs as required.
• Provide clear operational handovers to onsite event teams and manage last-minute changes.

About This Role

This is much more than a driving role. You'll be responsible for preparing, transporting and delivering catering and event equipment across multiple locations while supporting our Events team to ensure every delivery arrives safely, accurately and on time.

• Full-time position
• Stable Monday to Friday roster (approximately 9:00 am–6:00 pm)
• Occasional weekend event work

Key Responsibilities

• Take operational ownership of confirmed events from handover through to completion
• Review event orders, run sheets, client requirements, venue access and timing requirements
• Maintain event checklists and readiness, identifying equipment, stock, staffing and transport needs in advance
• Pick, pack and check food, beverages, equipment and consumables, ensuring orders are complete and ready for dispatch on time
• Book and coordinate equipment hire, supplier deliveries and collections
• Order alcohol, equipment and event consumables, tracking costs to ensure they remain within budget
• Coordinate drivers, delivery routes, vehicle requirements, loading and collections
• Deliver catering and equipment and support event setups, pickups, bump-ins and bump-outs as required
• Provide clear operational handovers to onsite event teams
• Manage last-minute changes and resolve operational issues to ensure smooth event delivery
• Return, clean, restock and maintain catering equipment, vehicles and warehouse areas
• Assist with stock rotation, stocktakes and supplier/VIP collections as required
• Work closely with chefs, venue and operational teams to plan events, support new venues, review completed events and continuously improve event processes
• Support the drop-off division during quieter periods as required
• Ensure event operations meet WHS, food safety, allergen, RSA and quality standards, including risk management, incident reporting and corrective actions
  

About You

We're looking for someone who is reliable, physically fit and enjoys working in a fast-paced environment.

You'll have:

• 5+ years’ experience in catering, events, hospitality or logistics
• Experience supporting medium to large events
• Strong planning, organisation and problem-solving skills
• Experience managing event costs and budgets
• Good knowledge of food safety, WHS and allergen requirements
• Strong communication and teamwork skills
• Current Australian driver licence
• Flexibility to work outside standard hours when required
