Job summary

PURPOSE OF THE ROLE

The Event Logistics & Warehouse Coordinators is at the heart of Woofys' Sydney operations, and is the baseline for driving excellence and unforgettable activations. You'll take full ownership of the warehouse, organised, safe and running like clockwork, and you'll be a regular driver on bump-in and bump-out, transporting equipment and props safely to and from activation sites. From preparing and maintaining event assets, packing kits, and supporting prep and production, to physically delivering and helping set up activations, you'll be hands-on in bringing our events to life. With a mix of practical skills, attention to detail, and teamwork, this role ensures every Woofys experience is seamless, high-quality, and memorable for our clients across Australia.

KEY RESPONSIBILITIES

• Warehouse Ownership: Take full ownership of maintaining a clean, safe, and well-organised warehouse environment. Ensure all areas are orderly, everything has a place, day-to-day operations run smoothly for the team and hazards and minimized.
• Driving and Bump-In / Bump-Out: Drive Woofys vehicles to transport equipment, props, and event assets to and from activation sites across Sydney. Take an active, hands-on role in bump-in and bump-out, including loading, unloading, and on-site setup and pack-down, as a regular part of the role.
• Event Asset Preparation and Maintenance: Prepare and maintain all event assets, including sanding, painting, branding, minor repairs, and general upkeep. Ensure every item is activation-ready and visually polished to uphold Woofys' high standards.
• Event Kit Packing and Organisation: Pack, organise, and check all event kits ahead of activations. Make sure every piece of equipment, prop, and styling item is accounted for, properly packed, and ready for seamless delivery and setup.
• Kitchen and Event Support: Assist with kitchen and event preparation, including basic food prep, plating, and styling. Maintain a clean, hygienic, and organised kitchen and prep space at all times.
• Equipment Care and Maintenance: Look after all Woofys equipment in Sydney, including carts, bars, plinths, machinery, props, and styling items. Conduct regular checks, cleaning, servicing and maintenance to ensure all items remain in excellent condition and activation-ready.
• Warehouse Organisation and Cleaning: Keep the warehouse fully organised, handling laundry, unpacking completed events, cleaning, and returning items to their designated areas. Ensure workspaces, storage areas, and the kitchen remain tidy, safe, and efficient.
• Receiving and Processing Deliveries: Accept, cross-check, and process all deliveries of produce, branding, packaging, and other materials. Ensure items are correct, complete, and report any discrepancies, missing stock, or damaged goods to the Event Producer.
• Team Support and Ad-Hoc Tasks: Assist the Event Producer and broader team with ad-hoc tasks across warehouse operations, logistics, and deliveries. Provide flexible support wherever needed to ensure events and activations run smoothly.

SKILLS & EXPERIENCE

• Previous experience in warehouse, logistics, or event roles.
• Physically fit - heavy lifting involved, capable of lifting, moving, and handling equipment.
• Strong organisational skills with the ability to maintain a clean, tidy, and efficient workspace.
• Hands-on experience with packing, preparing, and maintaining equipment or assets.
• Basic DIY, maintenance/ handyman skills (sanding, painting, minor repairs) are a plus but not essential, but you must possess a willingness to learn.
• Ability to follow processes and checklists accurately to ensure all kits and deliveries are complete.
• Basic food preparation and kitchen hygiene knowledge.
• Ability to operate in a fast-paced, flexible environment and manage multiple tasks simultaneously.
• Strong attention to detail, ensuring all items are maintained in excellent condition.
• Good communication skills and the ability to work as part of a team.
• Reliable, proactive, and able to take initiative with minimal supervision.
• Valid driver's license and experience driving vans or similar vehicles.
