Job summary

The Fresh Collective is seeking an Event Coordinator & Host to join UNSW The Lounge, delivering a seamless experience from initial enquiry to event day. You will mix admin, client contact and hands-on floor duties in a busy university venue.

Reporting to the Venue Manager, you’ll quote, confirm bookings, coordinate with clients and teams, and welcome guests, keeping service flowing during lunches and events.

Qualifications

• Experience in event coordination, hospitality, or customer-facing roles.
• Comfortable speaking with clients in person and on the phone.
• Strong organisation and attention to detail.
• Ability to manage multiple tasks calmly during busy times.
• Confidence preparing quotes, event paperwork and invoices.
• Familiarity with Momentus Elite/OpenTable is a plus.
• Good food and beverage knowledge or willingness to learn.

Responsibilities

• Respond to event, group booking and restaurant enquiries by phone and email.
• Prepare quotes, proposals, booking confirmations, deposits and invoices.
• Coordinate event details with clients, chefs, venue managers, service teams and suppliers.
• Prepare function sheets and keep event information up to date.
• Organise staffing, equipment hire and other event requirements.
• Attend client meetings and site inspections when needed.
• Join daily briefings and weekly forecast meetings.
• Follow up with clients after events and record feedback.
• Manage restaurant and event bookings, seating plans and wait times.
• Welcoming guests, managing entrance and helping guests find their table.
• Keep menus and front-of-house areas clean and ready for service.
• Assist the floor and bar teams during busy periods.
• Help keep website information current, including menus and promotions.

Event Coordinator & Host | UNSW The Lounge

The Fresh Collective is looking for an Event Coordinator & Host to join the team at UNSW The Lounge.

Reporting to the Venue Manager, this is a varied, hands‑on role. You’ll look after event and group bookings from the first enquiry through to the day of the event, while also being a familiar, welcoming face for guests coming into the venue.

You’ll enjoy this role if you like having a mix of admin, client contact and time on the floor. One day you may be preparing a quote and function sheet; the next, meeting a client for a site visit or helping the team through a busy lunch service.

What you’ll be doing

• Responding to event, group booking and restaurant enquiries by phone and email
• Preparing quotes, proposals, booking confirmations, deposit requests and invoices
• Coordinating event details with clients, chefs, venue managers, service teams and suppliers
• Preparing function sheets and keeping event information up to date
• Organising staffing, equipment hire and other event requirements
• Attending client meetings and site inspections when needed
• Joining daily briefings and weekly forecast meetings
• Following up with clients after their event and recording feedback
• Managing restaurant and event bookings, seating plans and wait times through OpenTable and Momentus Elite

What we’re looking for

• Experience in event coordination, hospitality, reservations or another customer‑facing role
• Someone comfortable speaking with clients and guests, both in person and over the phone
• Strong organisation skills and attention to detail
• The ability to manage several tasks at once and stay calm when things get busy
• Confidence preparing quotes, event paperwork and invoices
• Experience with Momentus Elite, OpenTable or similar systems would be an advantage
• Good food and beverage knowledge, or a willingness to learn
• A friendly, reliable and practical approach to work
• Availability to support events and busy service periods when required
