Job summary

WOW Recruitment is partnering with a well-established hospitality group to fill a part-time Functions & Marketing Coordinator role in Sydney CBD, offering a temporary opportunity with strong potential to become permanent and the chance to work across functions, events and marketing.

You'll support a busy Head Office, coordinate enquiries, proposals, venue inspections, social media content, EDMs and website updates, while developing relationships with clients and senior leadership.

Qualifications

• 2+ years experience in hospitality, events, venue coordination or marketing.
• Strong organisational and stakeholder management skills.
• Experience managing enquiries, bookings or client relationships.
• Social media and content creation experience.

Responsibilities

• Coordinate function and event enquiries from enquiry to booking confirmation.
• Prepare proposals, quotations and event documentation.
• Coordinate venue inspections and client meetings.
• Liaise with venue teams to ensure seamless event delivery.
• Maintain booking systems and enquiry pipelines.

Location: Sydney CBD

Pay Rate: Competitive Hourly Rate + Super

Hours: Part-time Temporary Opportunity | Approx. 3 days per week initially (Monday, Tuesday & Thursday preferred)

Flexibility: Opportunity for additional hours as event activity increases throughout peak trading periods.

This is a unique opportunity to combine functions, events and marketing coordination in a highly visible role where you’ll work closely with senior leadership while helping deliver memorable guest experiences across a portfolio of venues.

The Role

This is a varied, hands‑on position responsible for coordinating functions and events while supporting day‑to‑day marketing activity across the group.

Functions & Events

• Manage function and event enquiries from initial enquiry through to booking confirmation
• Prepare proposals, quotations and event documentation
• Coordinate venue inspections and client meetings
• Liaise with venue teams to ensure seamless event delivery
• Maintain booking systems and enquiry pipelines
• Build relationships with corporate and repeat clients

Marketing & Content

• Coordinate social media content across multiple venues
• Capture venue content including reels, stories and short‑form video
• Assist with venue promotions and seasonal campaigns
• Create and schedule social media content
• Coordinate EDMs and website updates
• Work with external designers, photographers and marketing suppliers

Who We’re Looking For

• 2+ years experience in hospitality, events, venue coordination or marketing
• Strong organisational and stakeholder management skills
• Experience managing enquiries, bookings or client relationships
• Social media and content creation experience
• Confident working across multiple priorities and deadlines
• Self‑motivated with the ability to work autonomously
• Hospitality experience highly regarded
• Experience with Canva, Adobe, EDM platforms or website updates is advantageous
