Scenic World in the Blue Mountains is looking for an Events Coordinator to join our Events team onsite. You’ll work with the Senior Event Manager to plan and deliver our annual program of major events and activations, ensuring memorable experiences and guest satisfaction.

This hands-on role covers event coordination, logistics and stakeholder management—from planning and timelines to on-site setup, delivery and pack-down, while keeping multiple moving parts on track for a seamless guest

Qualifications

Responsibilities

  • Coordinate planning and delivery of Scenic World’s major events and smaller activations.

Love seeing an event come together and knowing you helped make it happen? Scenic World is looking for an Events Coordinator to join our Events team onsite in the beautiful Blue Mountains.

You will work alongside our Senior Event Manager to plan and deliver Scenic World’s annual program of major events and smaller activations, helping create memorable experiences that drive visitation and bring our iconic location to life in new ways.

From coordinating suppliers, entertainment and equipment to managing schedules, run sheets and all the details in between, you’ll be involved across the event lifecycle. And when event day arrives, you won’t just be watching from the sidelines. You’ll be hands‑on with setup, delivery and pack down, working with teams across Scenic World and our external partners to make it all happen.

What You Will Be Doing

Working within a 7-day tourism attraction, no two events will look quite the same. We’re looking for someone who loves the detail behind a great event and enjoys being part of making it happen, from the planning and coordination through to being onsite when everything comes together.

Reporting to the Senior Event Manager, the Events Coordinator plays a key role in the planning, coordination and delivery of Scenic World’s event program, from major events through to smaller activations. You’ll work closely with teams across the business, as well as suppliers, contractors, entertainers and event partners, to ensure events are well organised, safe and deliver a great guest experience.

This is a hands‑on role combining event coordination, logistics, stakeholder management and practical problem‑solving. You’ll be involved in everything from schedules, suppliers and equipment through to event setup, delivery and pack down, while keeping the many moving parts of an event on track.

Key focus areas include event coordination & delivery, event logistics, supplier & stakeholder coordination, guest experience, event safety, administration & continuous improvement.

Key Responsibilities
  • Coordinate the planning & delivery of Scenic World’s major events and smaller activations.
  • Support the Senior Event Manager with event planning, timelines, schedules, run sheets & operational requirements.
  • Coordinate suppliers, contractors, entertainment, equipment & other event requirements to ensure everything is ready for delivery.
  • Work closely with internal teams across the business to coordinate event requirements & support overall event readiness.
  • Provide hands‑on support during event setup, operation & pack down, helping ensure events run smoothly from start to finish.
  • Maintain clear & accurate event documentation, schedules, supplier information and other operational details.
  • Liaise with external partners, suppliers & contractors, building positive working relationships and ensuring expectations are clearly communicated.
  • Work with the Senior Event Manager and Safety team to ensure event activities meet relevant WHS & operational requirements.
  • Monitor event delivery, responding to issues as they arise & helping find practical solutions to keep things on track.
  • Support post-event reviews, gathering feedback & identifying opportunities to improve future events and activations.
  • Keep across event trends, ideas & opportunities that could enhance Scenic World’s event offering and guest experience.
  • Actively contribute to a positive, collaborative work culture & participate in ongoing professional, cultural & business development.
About You

You are an organised and enthusiastic Events professional who enjoys being across the detail and seeing all the moving parts of an event come together. You’re a natural coordinator who can juggle competing priorities, communicate confidently with different people and stay calm when plans change or something unexpected comes up.

You enjoy being hands‑on and are just as comfortable coordinating suppliers, schedules and event logistics as you are being onsite helping with setup and delivery. You take pride in getting the details right, work well as part of a team and are always willing to jump in where needed to help deliver a great experience for our guests.

Essential experience & skills:
  • Tertiary qualifications in Event Management or a related discipline, or an equivalent combination of relevant experience, education & training.
  • Experience supporting the planning, coordination & delivery of events or activations.
  • Strong organisational & time management skills, with the ability to manage multiple tasks, deadlines & priorities.
  • Excellent communication & interpersonal skills, with the confidence to work with internal teams, suppliers, contractors & other external stakeholders.
  • Strong attention to detail and the ability to keep event schedules, logistics & documentation organised and on track.
  • A practical, solutions‑focused approach with the ability to adapt when priorities or event requirements change.
  • Confidence working both independently & collaboratively as part of a broader team.
  • A strong customer focus & an understanding of the importance of creating a positive guest experience.
  • Flexibility to work occasional weekends, public holidays & after hours when events require it.
Desirable:
  • Experience within tourism, hospitality, attractions or a similarly guest‑focused environment.
  • First Aid Certificate.
  • Experience working with external suppliers, contractors, entertainers & event partners.
  • Experience supporting major events, activations or events delivered within a live operational environment.
