Otis Elevators in Mascot, NSW is seeking a Service Coordinator to be the face of Electra Lifts’ service operations. The role reports to the Office Manager and focuses on delivering premium service to customers while coordinating administrative tasks across service, project and sales teams.

Qualifications

• Higher School Certificate (HSC) or relevant tertiary education.
• 3-5 years experience in project coordination, customer service or administrative positions.
• Strong verbal and written communication skills.
• Good knowledge of Microsoft Office and other IT platforms.
• Team player, agile and adaptable; strong time management.

Responsibilities

• Weekly checking and preparation of timesheets for Service Manager approval.
• Processing of chargeable calls (BWOC) ensuring invoices and descriptions are clear, obtaining POs as needed.
• Book T work jobs on the system upon order receipt and close T jobs when completed, including staged invoicing.
• Prepare customer reports daily/monthly/quarterly and ad-hoc admin work as required.
• Upload and maintain customer portals and ensure work orders are closed out efficiently.
• Collaborate with Administrators, Sales Reps, Project and Service Managers to meet customer requirements.
• Assist Sales Reps and Service/Project Managers with debt collection efforts.
• Prepare credits (ECNs) within the system as authorized by management.
• Provide Annual Maintenance Statements and lift registrations as required for customers.
• Identify process improvement opportunities and facilitate continuous improvement.
