Job summary

SHAPE Sydney is seeking a meticulous Document Controller to manage document-control processes on large-scale projects, ensuring accurate, traceable design, construction, quality and handover documentation.

You will work closely with Design Managers and the Project team, leveraging Aconex to register workflows, and help drive efficient handover while maintaining compliance and audit readiness.

Qualifications

• Experience in document control and project information management.
• Aconex experience establishing and managing document workflows.
• Experience coordinating design documentation, reviews and approvals.
• Strong stakeholder-management and organizational skills.
• Relevant qualification in document control or related field desirable.

Responsibilities

• Establish and maintain Aconex registers, workflows and filing structures.
• Upload, register, distribute, track and archive project docs.
• Maintain document numbering, revision control, metadata and transmittals.
• Coordinate design documentation, reviews, approvals and revisions.
• Monitor workflows and follow up on outstanding reviews and actions.
• Identify documentation gaps and duplicate records.
• Prepare document-status reports and handover documentation.
• Support quality, compliance and audit requirements.
• Coordinate collection, indexing and finalisation of handover docs.
• Improve document-control processes, templates, reporting and workflow efficiency.
