Customer Service Officer - Full Time

We're looking for a practical, proactive Customer Service Officer to join our team.

We currently have this role available at four locations: Bairnsdale, Morwell, and Derrimut. Please ensure you apply for the location that best suits you.

This isn't a traditional call centre customer service position. Your customers are our drivers and transport operation.

You'll be an important link between our maintenance and operations teams, helping ensure our vehicles and materials handling equipment are maintained and presented in the best possible condition for our drivers and operational teams.

You'll keep information flowing, liaise directly with drivers, support our maintenance systems and plan, and provide practical administration and reporting support to the workshop team.

Importantly, your support will help our maintenance leaders spend less time behind a computer and more time leading and supporting our maintenance professionals.

What you'll do
  • Act as a central liaison between the workshop, drivers, yard and operations teams.
  • Keep drivers and operations informed about vehicle, trailer and equipment availability, repairs and other updates.
  • Liaise directly with drivers to gather feedback and confirm vehicles are returned in a condition they are satisfied with.
  • Make proactive outbound calls to provide updates, gather information and follow up outstanding matters.
  • Assist with planning, regularly updating and communicating the maintenance plan to help ensure vehicles are delivered to the workshop at the required time.
  • Help ensure maintenance systems are being effectively utilised.
  • Provide administration support including workshop paperwork, records, follow-ups and general computer-based tasks.
  • Assist with KPI tracking and reporting for the broader team.
  • Support communication around vehicle defects, repairs, downtime and return-to-service.
  • Coordinate and follow up matters across departments through to completion.
  • Identify issues early and escalate them to the appropriate team.
  • Provide feedback to operations where operational activities are impacting the effective running of the workshop.
This role is a little different

You won't be sitting at a desk taking incoming customer calls all day.

Instead, you'll be actively communicating across the depot, talking with drivers, working with the workshop, liaising with yard and operations staff, making calls, chasing information and taking care of the practical administration that keeps everything moving.

At its heart, this role is about communication, service, follow-through and helping our people work better together.

About you

We're looking for someone who:

  • Is a confident and clear communicator.
  • Is comfortable picking up the phone and proactively contacting people.
  • Is organised and confident with administration, systems and computer-based tasks.
  • Enjoys solving problems and getting things sorted.
  • Can build strong working relationships with drivers, workshop and operational teams.
  • Can manage competing priorities.
  • Takes ownership and follows things through to completion.
  • Is comfortable tracking information and assisting with reporting.
  • Stays calm and communicates clearly when plans change.
  • Enjoys working in a busy, practical environment.

If you're someone who enjoys connecting the dots, keeping people informed and helping a busy transport and workshop operation run smoothly, we'd like to hear from you.
