Job summary

UTS, based in Sydney, is seeking an executive and project coordinator to support the Education Portfolio. The role manages information, documentation and workflows, coordinating meetings, preparing briefs and tracking portfolio progress.

The successful candidate will coordinate portfolio information, support events, and maintain records, using enterprise systems and digital tools to meet tight deadlines. This is a full-time continuing appointment within the Education Portfolio.

Qualifications

  • Proven ability to manage information flows, coordinate executive and operational activities, and deliver accurate work within tight timeframes.
  • Experience researching and preparing briefs, reports and papers, supporting committee/executive processes.
  • Ability to exercise initiative, tact and discretion with confidential matters.
  • Experience supporting projects or portfolio activities contributing to objectives.
  • Ability to work with enterprise systems and digital tools to support reporting requirements.

About the Team

The Learning and Curriculum Unit sits within the Education Portfolio in the Division of Education and Students. The team works in partnership with faculties and central teams to support curriculum, teaching and assessment, contributing to student success through quality and innovative education.

Job Purpose

Provide executive and project coordination support across the Education Portfolio. Support portfolio priorities through accurate and timely management of information, documentation and workflows.

Role responsibilities
  • Prepare briefs, correspondence and executive information.
  • Coordinate meetings, agendas, papers and follow up actions.
  • Support project planning, tracking, reporting and documentation.
  • Coordinate portfolio information, updates and stakeholder inputs.
  • Support portfolio events, forums and activities.
  • Maintain records in accordance with University requirements.
What We Offer

Base Salary Range: $111,740.00 - $123,611.00 (HEW 7) plus 17% Superannuation.

Theposition is full time and will be made on a continuing basis.

Selection Criteria

The criteria should be:

  • Proven ability to manage information flows, coordinate executive and operational activities, and deliver accurate work within tight and competing timeframes in a complex office environment.
  • Demonstrated ability to undertake research, prepare briefs, reports and papers, support committee or executive meeting processes, and follow through on decisions and actions.
  • Ability to exercise initiative, sound judgement, tact and discretion when managing sensitive or confidential matters, resolving routine issues and escalating complex matters appropriately.
  • Experience supporting projects, initiatives or portfolio activities that contribute to organisational, divisional or strategic objectives.
  • Ability to work confidently with enterprise systems and digital tools, including financial, HR, administrative and records management systems, to manage information and support reporting requirements.
