Job summary

JV Recruitment seeks a detail-driven Contract Administrator for a fast-paced Australian commercial fitout environment in Mascot. You will own financial administration, procurement, and subcontractor management on projects up to $3M, working alongside Project Managers.

You will master modern construction software (Jobpac, Procore, Cheops and Excel), monitor head contract variations, and drive cash flow from procurement through to practical completion, with career growth into senior CA or project

Qualifications

• Proven CA experience in Australian commercial fitout sector.
• Hands-on administration of projects up to $3M.
• Familiarity with head/subcontract conditions and variation processes.

Responsibilities

• Prepare trade scopes, issue tender packages, negotiate trade lets, and finalize subcontractor agreements.
• Process progress claims, review variations, compile cost-to-complete reporting.
• Track timelines, ensure insurance, SWMS and compliance docs are up to date.
• Monitor cash flows, track variations, and manage EOTs.
• Collaborate with site teams to drive cash flow from procurement to practical completion.

Are you a detail-driven Contract Administrator who thrives in a fast-paced commercial fitout environment?

We are seeking an experienced CA to join a growing, highly dynamic fitout specialist based in Mascot. Working directly alongside Project Managers, you will take ownership of the commercial and administrative delivery of high-spec fitout projects valued up to $3M. This role covers a diverse spectrum of builds, including retail, hospitality venues, commercial office fitouts, and financial institutions.

Key Responsibilities

• Procurement & Trade Letting: Prepare trade scopes, issue tender packages, negotiate trade lets, and finalize subcontractor agreements.
• Financial Administration: Process progress claims, review variations, compile head contract claims, and manage monthly cost-to-complete reporting.
• Subcontractor Management: Manage trade performance, track timelines, and ensure all insurance, safety (SWMS), and compliance documentation is up to date.
• Head Contract Administration: Monitor project cash flows, track variations, and handle extensions of time (EOTs) accurately.
• Project Support: Partner closely with site teams and Project Managers to drive smooth project cash flow from procurement through to practical completion.

What We Are Looking For

• Industry Experience: Proven track record as a Contract Administrator within the Australian commercial fitout sector (retail, office, hospitality, or banking experience welcomed).
• Project Track Record: Hands‑on experience administering projects up to $3M in value.
• System & Software Mastery: Proficiency in modern construction administration software (e.g., Jobpac, Procore, Cheops, or Excel) and MS Project.
• Commercial Acumen: Strong understanding of head contract/subcontract conditions, variation mechanisms, and financial reporting processes.
• Eligibility: Must hold Australian Citizenship (essential requirement).
