Responsibilities

• Coordinating and administering contract variations from initiation through to submission and approval.
• Managing incoming reactive and optional works requests and ensuring they are correctly classified and prioritised.
• Dispatching work orders and monitoring jobs through to completion.
• Maintaining variation registers, site cleaning registers and contract records.
• Monitoring KPIs and service level requirements, proactively managing potential breaches.
• Acting as a key point of contact for clients regarding work status and service updates.
• Building effective relationships with operational teams, subcontractors and customers.
• Supporting contractual reporting and commercial administration activities.
• Coordinating the end-to-end COS process to support contract service delivery outcomes.
• Supervising the Emergency / Reactive Cleaner and supporting emergency response activities where required.

Ventia is seeking a highly organised and commercially minded Contract Administration & Works Coordinator to join our NSW Whole of Government Cleaning Contract team based in Parramatta. This role is responsible for coordinating reactive and planned works, managing contract variations, supporting service delivery outcomes, and ensuring contractual compliance across a large and dynamic portfolio.

Reporting to the Compliance & Administration Manager, you'll play a key role in connecting operational teams, subcontractors and clients while ensuring works are delivered efficiently and contractual processes are managed accurately.

About The Role

This is a varied role that combines operational coordination with contract administration and commercial support.

You will take ownership of the end-to-end management of reactive and optional works requests, monitor progress against contractual service levels, and coordinate variation processes to ensure additional works are appropriately documented, approved and recovered.

Key Responsibilities Include
