Job summary

Australian Veteran Health Services is seeking a Practice Manager to lead the clinic’s administration and reception team, ensuring efficient bookings, billing, and compliance with privacy, AVGS policy and accreditation requirements.

You will work with the Senior Operations Manager and Clinical Manager to align non-clinical operations with clinical service delivery, while maintaining high professional standards for veterans and patients.

Qualifications

• 3–5 years' experience in practice management, administration leadership or business operations in a medical/healthcare setting.
• Proven experience leading an admin/reception team including rostering and performance management.
• Working knowledge of Medicare and/or DVA billing and claiming or ability to learn quickly.
• Financial acumen with budget monitoring, reconciliation and reporting.
• Proficiency with practice management software and MS Office.
• Experience implementing systems, policies and process improvements.
• Ability to interpret and report operational and financial performance data.

Responsibilities

• Own the clinic's booking and scheduling systems to optimise patient flow, appointment utilisation, wait times and non-attendance.
• Ensure accurate use of practice management software and manage recall, reminders and DVA referrals with the clinical team.
• Monitor clinic revenue, expenditure and billing efficiency; support procurement within delegated authority.
• Contribute to budget development, financial forecasting and achieving operational targets.
• Lead recruitment, onboarding and rostering for reception/administration staff; provide day-to-day support.
• Coordinate staffing levels and rostering to guarantee clinic coverage and service continuity.
• Oversee Medicare, DVA and private billing, claiming and reconciliation.
