Job summary

Home Delivery Services (HDS) is seeking a detail‑oriented Senior Billing/Accounts Payable specialist to join our growing finance team in Melbourne. You’ll own contractor RCTIs, client invoices, and the quarterly close, ensuring accuracy and timely resolution of discrepancies.

You’ll work closely with the Financial Controller and Senior Accountant to translate agreements into precise charges, maintain master data, and support process improvements as the business scales.

Qualifications

• Strong accounts payable or billing experience in a high-volume environment.
• Ability to read service agreements or rate schedules and apply their terms.
• Strong reconciliation skills across supplier statements, contracted rates and operational records.
• Advanced Excel skills (lookups, pivots, reconciling large data sets).
• Clear written and verbal communication; comfortable contacting operations managers or contractors.
• Curious and persistent; you want to understand why figures disagree and drive resolution.
• Organised and methodical to manage multiple open queries.

Responsibilities

• Prepare weekly contractor RCTIs from approved rate schedules.
• Reconcile contractor charges against contracted rates, volume records and invoicing.
• Maintain RCTI compliance: agreement, GST registration, and 28‑day invoicing.
• Apply fuel levy adjustments and recoverable costs to clients.
• Prepare and issue weekly client invoicing; resolve data issues.
• Reconcile client invoicing to operational records; investigate unbilled or incorrect charges.
• Escalate discrepancies for credits or rate adjustments.
• Prepare and maintain client performance reports.
• Manage accounts inbox and query register; follow up on outstanding items.
• Investigate discrepancies to root cause with Commercial and Operations teams.
• Document issues with evidence and ensure closure.
• Identify and recover credits, duplicate charges, and unapplied balances.
• Onboard contractors with Accounts Payable; maintain supplier master data.
• Keep process documentation current.
