Job description

Our client, is seeking a detail-oriented Billing Officer to join its finance team

This is an excellent opportunity for an experienced billing or finance administration professional to take ownership of the end-to-end customer billing cycle, ensuring invoices are accurate, supporting documentation is complete and billing deadlines are consistently met.

Working closely with the Finance Manager, Site Accountant and operational teams, you'll play a key role in connecting day-to-day terminal activities with accurate financial reporting and timely customer invoicing.

The Opportunity

Reporting directly to the Finance Manager, you'll manage monthly billing activities across a range of port and terminal services, ensuring all charges are accurately recorded, checked and supported by the appropriate documentation.

This is a hands-on, process-driven role suited to someone who enjoys working with numbers, Excel spreadsheets and detailed records. You'll act as the central point of contact for billing matters, coordinating with internal stakeholders and customers to resolve discrepancies, obtain approvals and ensure invoices are submitted on time.

Key responsibilities include:

  • Managing the end-to-end customer billing process across labour, equipment, storage, engineering, vessel-related activities, on-charges and agency services.

  • Preparing and maintaining supporting documentation, including work orders, operational records, purchase orders, supplier invoices, timesheets and customer approvals.

  • Reviewing billing information for accuracy, completeness and compliance with contractual requirements.

  • Coordinating internal and customer approvals to ensure billing packages are complete before invoices are issued.

  • Maintaining billing registers, trackers and supporting records to ensure an accurate and auditable billing trail.

  • Assisting with month-end activities, including revenue summaries, accruals, reconciliations and follow-up of unbilled work.

  • Liaising with customers to obtain billing approvals and facilitate timely invoice submission.

  • Working closely with Operations, Site Administration, Commercial, Accounts Payable, Accounts Receivable and Finance to resolve billing queries and information gaps.

  • Identifying missing documentation, approval delays, discrepancies and potential revenue risks, escalating issues and supporting process improvements.

About You

We're looking for an organised, proactive and detail-focused professional who can manage recurring billing activities while maintaining a high standard of accuracy.

To be successful, you'll bring:

  • Previous experience in billing, accounts receivable, accounts administration or a similar transactional finance role.

  • Experience preparing customer invoices and maintaining supporting billing documentation.

  • Intermediate Excel skills and confidence working with spreadsheets, data and recurring monthly processes.

  • Strong attention to detail and the ability to cross-check information to identify discrepancies.

  • Excellent organisational and time management skills, with the ability to meet deadlines.

  • Strong communication skills and the confidence to liaise with finance, operational and external stakeholders.

  • The ability to work autonomously, take initiative and follow up outstanding information.

  • A collaborative approach and the ability to work effectively within a small team.

A degree in Accounting, Finance or a related discipline would be advantageous. An accounting qualification or progress towards CPA/CA would also be beneficial, but relevant practical experience is the priority.

Experience with Oracle or similar finance systems will be highly regarded.

Previous experience in the transport, logistics or port operations sectors would be advantageous but is not essential. Candidates from other industries with strong billing and accounts experience are encouraged to apply.

What's on Offer?
  • An initial 12-month full-time contract.

  • The opportunity to join an established Australian transport and energy business.

  • A hands-on role with clear ownership of the billing process.

  • Exposure to a broad range of commercial and operational finance activities.

  • Collaboration with an experienced finance and operations team.

  • The opportunity to contribute to billing accuracy, financial controls and process improvement.

The role will initially be primarily site-based to support onboarding and collaboration with the operational team. There may be an opportunity for one work-from-home day following onboarding, subject to business requirements.

Occasional travel and multiple days on site each quarter may also be required.

If you're a detail-oriented billing professional looking for your next opportunity, we'd love to hear from you.
