Job summary

Aviation Australia is seeking a proactive Assessments Coordinator in Melbourne, VIC. This full-time role coordinates assessments, site visits, meetings, and other activities across a dispersed national team, while supporting apprentices, employers, instructors and internal stakeholders.

The successful candidate will process apprentice documentation, manage e-journal platforms, and handle inbox communications with confidentiality.

Qualifications

  • Minimum of 3 years' experience in a high demand administrative or scheduling role.
  • Experience in an educational setting with apprenticeship and RPL knowledge.
  • Excellent written and verbal communication and ability to manage multiple tasks.
  • Intermediate Microsoft 365 knowledge and adaptability to new systems.
  • Ability to interpret and apply legislation, regulations, policies and procedures.
  • Willingness to travel domestically as required.

Responsibilities

Job description

We are seeking a proactive, highly organised and service-oriented Assessments Coordinator. Working as part of a geographically dispersed national team, you will collaborate with colleagues across multiple locations to ensure consistent, high-quality support and service delivery.

This full-time position is responsible for a variety of administrative and customer support functions, including processing apprentice documentation, coordinating e-journal support and training, managing shared inbox communications, and responding to walk-in enquiries. The role is also responsible for coordinating and scheduling assessments, site visits, meetings, and other key activities, ensuring efficient resource allocation and timely communication with apprentices, employers, instructors, and internal stakeholders.

Is this role for you?

Our ideal candidate will have the following:

  • Minimum of 3 years' experience in a high demand administrative or scheduling role (essential)
  • Experience in a similar role in an educational setting will be highly regarded, along with knowledge of Apprentice and Recognition of Prior learning (RPL) assessment processes.
  • Excellent communication skills (both written and verbal) and the ability to manage multiple tasks, prioritise effectively, deal with sensitive issues and maintain confidentiality.
  • Intermediate knowledge of Microsoft 365 applications and the ability to become an effective user of new computer systems, including electronic journal (e-journal) platforms.
  • Ability to interpret and apply legislation, regulations, policies and procedures.
  • Willingness and flexibility to undertake training and travel domestically as required.
