We're looking for a sharp, detail-driven Appointments & Scheduling Coordinator to join our growing team. This is a genuinely critical role — not a standard admin position. You'll be the engine behind a fast-moving appointment pipeline, responsible for matching the right clients with the right appointments across multiple Australian time zones, every single day.
If you thrive in high-paced environments, take pride in getting things right the first time, and enjoy the challenge of thinking on your feet — this role was built for you.
Coordinate and schedule appointments between clients and hosts, ensuring the right match based on defined criteria and requirements
Manage a high volume of bookings with precision — no two appointments are the same
Communicate clearly and efficiently with both internal team members and external parties to confirm, adjust, and track appointments
Navigate scheduling across multiple Australian time zones, managing conflicts and changes with confidence
Apply critical thinking to assess suitability forclient engagement, using established matching criteria
Maintain accurate records and scheduling data to ensure nothing falls through the cracks
Proactively flag and resolve scheduling issues before they become problems
3+ years of experience in a scheduling, coordination, or operations role — ideally within financial services, professional services, or a similarly fast-paced industry
Exceptional attention to detail — you genuinely care about accuracy and take it personally when something isn't right
Strong critical thinking skills with the ability to assess, match, and prioritise under pressure
Confident communicator — written and verbal — with the ability to manage multiple stakeholders at once
Comfortable working independently in a remote environment and staying self-managed without close supervision
