Job summary

Workways Australia is seeking an Administrator to provide high-level administrative support from site in Sale, Victoria. The role will be the first point of contact for participants and stakeholders, handling enquiries and assisting customers to access services.

You will support reception duties, help with digital services, and ensure a professional, confidential service. A commitment to community outcomes and strong organisational skills are essential.

Qualifications

  • Has experience providing administrative support services.
  • Strong interpersonal and communication skills with stakeholders.
  • Proficient in computer applications including Windows and MS Office Suite.
  • Able to work autonomously and in a team.
  • Understanding of contractually compliant environments.

Responsibilities

  • Answer customer enquiries promptly.
  • Assist Digital Services participants and refer to Employment Coach if needed.
  • Help customers use open access computers, update job seeker profiles and resumes, and apply for work.
  • Refer customers to staff or external organisations when appropriate.
  • Contribute to team objectives.
  • Provide comprehensive administrative support for site staff.
  • Manage diaries and organise meetings in consultation with the Site Manager.
  • Arrange meetings, workshops and related events.

About The Opportunity

As an Administrator you will provide a high-level administration support to the programs operating from site, as well as supporting the wide organisation as required. You are primarily responsible for the reception of customers at the site and assisting customers in accessing services. You are usually the first point of contact for participants and stakeholders phoning and visiting our site therefore will have high level of Customer Service, professionalism and presentational along with excellent attention to detail, strong interpersonal skills and the ability to multi-task. You will empower our customers, supporting them into sustainable employment, building their independence and improving their wellbeing. It is an engaging, challenging and rewarding role.

Being An Administrator Involves
  • Acknowledging and responding to customer enquiries in a timely manner.
  • Providing assistance with Digital Services participants and referring to Employment Coach if required.
  • Assisting customers with open access computers, their job seeker profile and resume and applying for work.
  • Referring customers to appropriate staff and/or external organisations.
  • Actively contributing to the team objectives.
  • Providing a full range of administrative and clerical support services for all site staff.
  • Providing timely, effective diary management by prioritising and organising meetings in consultation with the Site Manager.
  • Assisting in arranging meetings, workshops and related events.
About You

  • You have sound experience in the provision of administrative support services.
  • You have well developed interpersonal and communication skills, including the ability to negotiate, liaise and consult with a wide range of stakeholders
  • You utilise your professionalism, confidentiality and finely-honed customer service skills when providing support to our customers
  • You are proficient in computer applications, including Windows and MS office suite.
  • You can work autonomously and collaboratively in a team environment.
  • You understand and have the ability to work within a contractually compliant environment.
  • You may have relevant qualifications in Office Administration or equivalent experience in related fields.
  • You hold a current drivers license and are willing to undertake a satisfactory Police Check and Working with Children Card as a pre-condition of employment.
