The Administration Officer provides high-quality administrative support across the business to ensure the efficient day-to-day operation of Ferguson Hyams Execution Pty Ltd. This role is responsible for maintaining accurate records, supporting payroll and HR administration, coordinating office functions, assisting management and contributing to the smooth delivery of administrative processes across multiple properties and business units.
The Administration Officer plays an important role in ensuring confidentiality, accuracy and compliance with company policies and relevant legislation.

1. General Administration
Provide day-to-day administrative support to management and staff, including phone/email enquiries, correspondence, reports and presentations.
Maintain filing systems, coordinate mail and couriers, and manage office supplies and equipment.
2. HR Administration
Maintain employee records and employment documentation in Employment Hero, and support onboarding/offboarding.
Monitor HR compliance documentation, escalating issues to the Administration Manager, and provide general HR administrative support.
3. Payroll Support
Assist with payroll administration, including processing timesheets, verifying employee records and maintaining payroll documentation.
Liaise with payroll providers where required, ensuring records remain accurate and confidential.
4. Finance Administration
Process purchase orders, invoices and accounts payable/receivable.
Reconcile credit card transactions and expense claims, and maintain supplier information.
5. Office Coordination
Coordinate meetings, calendars and travel/accommodation bookings.
Assist with company events and employee functions.
6. Compliance & Record Keeping
Maintain employment and business records in accordance with company policies and Maintain employment and business records per company policy and legislative requirements, ensuring confidentiality.
Support document control, records management and internal audits/compliance activities.
You’re a highly organised, proactive administration professional with excellent attention to detail and a commitment to accuracy. You enjoy supporting a busy team, manage competing priorities well, and take pride in efficient administrative systems. Confident with technology and business systems, you pick up new software quickly and understand the importance of handling confidential information with discretion.
