FLANDERS in Australia is seeking an Administration Officer to deliver high-quality payroll and administrative support across Queensland operations. The role reports to the HR Manager and involves payroll processing, document control, and compliance across multiple systems.

You will manage payroll workflows, assist with audits, maintain SharePoint libraries, and coordinate records and visitor access. A strong service mindset and confidentiality are essential to ensure accurate payments and smooth

  • Confidentiality and sound judgment with payroll and employee data.

Responsibilities

  • Manage end-to-end payroll processing, ensuring accurate and timely employee payments while maintaining audit-ready payroll records.
  • Perform payroll reconciliations each pay cycle, identifying and resolving discrepancies to ensure payroll accuracy.
  • Respond to payroll-related queries from employees and managers, providing effective support and issue resolution.
  • Administer SharePoint document libraries, ensuring version control, document integrity, and proper user access permissions.
  • Coordinate document management workflows, including job scanning, training records administration, and company documentation processes.
  • Manage visitor and contractor check-in procedures, ensuring compliance with sign-in requirements and safety induction protocols.
  • Maintain accurate employee and operational records across systems including CSI, UKG, and Benchmark.
  • Provide general administrative support including printing, laminating, binding, photocopying, filing, and mail distribution.
  • Identify and report workplace hazards, incidents, injuries, near misses, and unsafe practices per policies.

What We Are Looking For

We are seeking a proactive and detail-oriented Administration Officer to provide responsive, high-quality administrative support across our business operations in Queensland. This role reports directly to the Human Resource Manager of Australia, providing regular updates on payroll processing, administrative functions, and system audits, while ensuring operational efficiency and alignment with the organization's strategic objectives to drive overall business success.

Here's What You'll Do
  • Manage end-to-end payroll processing, ensuring accurate and timely employee payments while maintaining complete, compliant, and audit-ready payroll records.
  • Perform payroll reconciliations each pay cycle, proactively identifying, investigating, and resolving discrepancies to ensure payroll accuracy.
  • Respond promptly and professionally to payroll-related queries from employees and managers, providing effective support and issue resolution.
  • Administer and maintained SharePoint document libraries, ensuring effective version control, document integrity, and appropriate user access permissions.
  • Coordinate document management workflows, including job scanning, training records administration, and company documentation processes.
  • Manage visitor and contractor check-in procedures, ensuring compliance with site sign-in requirements and workplace health and safety induction protocols.
  • Maintain accurate employee and operational records across multiple business systems, including CSI, UKG, and Benchmark.
  • Provide comprehensive administrative support, including printing, laminating, binding, photocopying, filing, and mail distribution.
  • Identify and reported workplace hazards, incidents, injuries, near misses, and unsafe work practices in accordance with company health, safety, and incident reporting procedures.
Here's What You'll Need
  • Demonstrated experience in a similar administration, office coordination, or payroll support role.
  • Experience processing end-to-end payroll using HRIS systems.
  • Strong self-management skills with proven ability to work autonomously and use initiative.
  • Excellent organizational skills with ability to manage competing priorities and deadlines.
  • High attention to detail, particularly in payroll, document control, and record-keeping.
  • Confident, friendly communication style with genuine customer-service mindset.
  • Intermediate to advanced skills in Microsoft Office including Outlook, Word, Excel, and SharePoint.
  • Ability to maintain confidentiality and exercise sound judgment with payroll and employee data.
  • Valid work authorization in Australia.

You’ll also need to meet pre-employment requirements including a medical assessment and drug & alcohol screening and hold a current Australian driver’s licence.
