The Administration Support Officer provides practical administrative support to the Dispatch Support Officer and the broader Processing Plant team. The role is focused on accurate paperwork, filing, data entry, site stocktake support, records management and day-to-day administrative coordination to help the site operate efficiently.
This is an internal support position. It is not a customer-facing role and there is no shopfront or retail responsibility. The successful person will be organised, reliable, accurate and, importantly, a strong communicator who can work effectively with dispatch, production, management and other internal teams.
Role and Responsibilities
Administration and Documentation Support
- Provide day-to-day administrative support to the Dispatch Support Officer and Processing Plant team.
- Prepare, organise, check and file dispatch, production and general site paperwork in an accurate and timely manner.
- Complete routine data entry and assist with updating spreadsheets, registers, forms and internal systems.
- Assist with printing, scanning, copying, document preparation and general office administration.
- Follow up missing paperwork or information with relevant team members and escalation issues where required.
Dispatch and Operational Support
- Support the Dispatch Support Officer with the administration associated with dispatch activities, including preparing and collating relevant paperwork and records.
- Assist the team with internal coordination of documents required for stock movements, dispatch, production and inventory activities.
- Help maintain orderly records relating to incoming and outgoing product, stock movements and other site transactions.
- Provide administrative support during busy production and dispatch periods as directed by Processing Plant Management.
Stocktake and Inventory Support
- Assist with general site stocktakes, including physical counts, recording quantities and reconciling information against available records.
- Support maintenance of accurate stock and inventory records and report identified discrepancies to the relevant supervisor or manager.
- Assist with routine checks of consumables, packaging and other site inventory where required.
- Maintain stocktake sheets, supporting documents and filing following completion of counts.
Communication and Team Support
- Communicate clearly, respectfully and promptly with dispatch, production, warehouse, administration and management personnel.
- Actively follow up information required to complete administrative tasks and keep relevant team members informed of progress or issues.
- Work cooperatively across the site and contribute to an organised, professional and solutions-focused working environment.
Work Hours and Conditions
- Primarily site-based at the Processing Plant in Griffith NSW.
- Standard working hours will be set in accordance with the employment contract and operational requirements.
Preferred Experience and Training
- Previous experience in administration, dispatch support, warehousing, processing, inventory or a similar operational environment is desirable.
- Experience with data entry, filing, document control and maintaining accurate records.
- Confidence using Microsoft Office applications, particularly Outlook, Word and Excel; experience with inventory or business systems is an advantage.
- Formal administration qualifications are desirable but not essential where the applicant can demonstrate suitable practical experience.
