Job summary

Talentpath Recruitment is seeking an organised Office Administrator to support Head Office operations in our Teneriffe, Brisbane office. You will manage reception, meeting rooms, facilities, and office supplies, helping to present a professional, welcoming environment.

Work will be Monday–Friday, 8am–5pm, with exposure to corporate events and hospitality. This is a stable, privately owned business offering long-term career opportunities and a supportive team.

Qualifications

  • Previous administration experience within an office or professional services environment.
  • Strong attention to detail and organisational skills.
  • Excellent communication and stakeholder management.

Responsibilities

  • Being the first point of contact for visitors, calls and general enquiries.
  • Managing reception, meeting rooms and the presentation of the office.
  • Coordinating office supplies, mail, couriers and facilities.
  • Assisting staff events, corporate functions and hospitality.
  • Supporting the Property Manager with maintenance requests and contractor coordination.
  • Maintaining accurate property, tenancy and maintenance records.
  • Supporting management and the wider team with general administration.
  • Identifying opportunities to improve systems and processes.

About The Role

No two days will look exactly the same. You will play an important role in keeping Head Office running smoothly while supporting the Property team with their day-to-day operations.

Your Responsibilities Will Include
  • Being the first point of contact for visitors, calls and general enquiries
  • Managing reception, meeting rooms and the presentation of the office
  • Coordinating office supplies, mail, couriers and facilities
  • Assisting with staff events, corporate functions and hospitality
  • Supporting the Property Manager with maintenance requests and contractor coordination
  • Coordinating and following up on maintenance issues
  • Maintaining accurate property, tenancy and maintenance records
  • Assisting with reporting and administrative projectsProcessing and reconciling corporate credit card transactions
  • Supporting management and the wider team with general administration
  • Identifying opportunities to improve systems and processes
About You

We are looking for someone who is organised, proactive and enjoys being the person the team can rely on.

You Will Ideally Have
  • Previous administration experience within an office, property or professional services environment
  • Experience working within a privately owned business would be advantageous
  • Strong Microsoft Office skills, particularly Word, Outlook and Excel
  • Excellent attention to detail and organisational skills
  • Strong communication and stakeholder management skills
  • The ability to manage multiple priorities and stay calm when things get busy
  • A proactive mindset and the confidence to take ownership of your work
  • A professional, friendly and service-focused approach
  • Property, real estate, facilities or legal administration experience would be
  • A Business Administration qualification would be advantageous
