Job summary

Whitehaven Coal Limited in Brisbane is seeking an experienced Accounts Payable Officer to join the Finance Shared Services team. You will own end-to-end AP activities, manage supplier payments in SAP, and collaborate across Finance, Procurement and Treasury to maintain strong controls and timely payments.

• End-to-end Accounts Payable experience with vendor payments.
• Experience with SAP and ERP environments is preferred.
• Ability to manage multiple payments and reconciliations with accuracy.

Responsibilities

• Manage end-to-end accounts payable processes in SAP, including supplier invoices and staff reimbursements.
• Prepare weekly and ad hoc payment runs in line with terms and controls.
• Support cash forecasting with accurate payment data for stakeholders.
• Reconcile supplier statements and investigate discrepancies and aging items.
• Respond to supplier and stakeholder inquiries with high service levels.
• Reconcile AP ledgers, payment batches and supporting docs for accuracy.
• Collaborate with Procurement, Treasury and operations to optimise Procure-to-Pay.
• Identify process improvements and participate in continuous improvement initiatives.

About the Role

An opportunity exists for an experienced Accounts Payable Officer to join Whitehaven's Finance Shared Services team in Brisbane. Reporting to the Accounts Payable Manager, you will play a key role in ensuring the accurate and timely processing of supplier payments while supporting the efficient operation of the Procure-to-Pay function.

This is a hands-on role where you'll take ownership of end-to-end accounts payable activities across a high-volume environment. Working closely with stakeholders across Finance, Procurement, Treasury and Operations, you'll help maintain strong financial controls, build positive supplier relationships and contribute to the smooth running of critical business processes.

What You’ll Do

• Manage the end-to-end accounts payable process, including supplier invoice processing, employee reimbursements and vendor payments through SAP.
• Prepare and execute weekly and ad hoc payment runs, ensuring compliance with approved payment terms and company controls.
• Support cash forecasting activities and provide accurate payment-related information to internal stakeholders.
• Complete supplier statement reconciliations and proactively investigate discrepancies, aged items and unmatched transactions.
• Respond to supplier and stakeholder enquiries while delivering a high level of customer service.
• Reconcile Accounts Payable ledgers, payment batches and supporting documentation to ensure accuracy and compliance.
• Collaborate with Procurement, Treasury and operational teams to support an efficient Procure-to-Pay process.
• Identify opportunities to improve processes, systems and ways of working, contributing to continuous improvement initiatives.

What You’ll Bring

You will be an experienced Accounts Payable Officer who enjoys working in a fast-paced environment and takes pride in delivering accurate outcomes. You combine strong technical accounts payable expertise with a proactive and customer-focused approach, building effective relationships while maintaining high levels of accuracy and attention to detail.

To succeed in this role, you will bring:

• Demonstrated end-to-end Accounts Payable experience, including payment runs, reconciliations and supplier management.
• Experience working within a large ERP environment, SAP experience highly regarded.
• Experience processing invoices via SAP business network.
• Strong understanding of accounts payable processes, controls, invoice management and reconciliations.
• The ability to manage competing priorities and meet deadlines within a fast-paced environment.
• Strong stakeholder engagement, communication and problem-solving skills.
