Dental Practice 2IC / Assistant Practice Manager

DentalCare Carnegie is a modern, fast-paced, and highly reputable dental practice dedicated to providing exceptional patient care. We maintain 8 surgeries 8:30AM-8:30PM Monday-Friday, 8:30AM -6:30PM Saturday - Sunday and, are open 7 days a week, 365 days per year. We are seeking a dynamic and highly organized 2IC (Second-in-Charge) to help lead our team and keep our daily operations running like clockwork.

The Role

As the 2IC, you will be the right hand to the Practice Manager, stepping up to lead the clinic in their absence. This is a diverse, hybrid role that blends frontline patient interaction, clinical support, and operational leadership. You will be instrumental in maintaining high standards of patient care, motivating the team, and optimizing clinic workflows. This role would work well exceptionally well if you are a current Practice Manager of a 3-5 chair clinic and looking for more or, you are seasoned Practice Manager looking for more shared and supportive team role.

Key Responsibilities

• Operational Leadership: Support the Practice Manager in overseeing daily clinic operations, managing staff rosters, and resolving day-to-day administrative challenges.
• Team Mentorship: Act as a go-to mentor for dental assistants and reception staff, fostering a positive, collaborative, and high-performing team environment.
• Patient Experience: Manage front desk operations, handle complex patient inquiries, and ensure a seamless, welcoming journey from arrival to departure.
• Clinic Coordination: Optimize appointment scheduling to maximize efficiency in a high-volume environment while ensuring compliance with safety and sterilization protocols.
• Financial Duties: Assist with end-of-day reconciliation, invoicing, managing HICAPS/EFTPOS transactions, and basic reporting.

What We Are Looking For

• Dental Industry Experience: A minimum of 2-3 years of experience in a dental clinic environment (experience as a Senior Dental Assistant or Head Receptionist is highly desirable).
• Leadership Capabilities: Proven experience leading, mentoring, or coordinating a team, with the confidence to step up when the Practice Manager is away.
• Tech‑Savvy: Strong proficiency with dental practice management software, D4W
• Thrives Under Pressure: The ability to stay calm, organized, and solution‑focused in a fast‑paced, busy clinic.
