Senior PMO Analyst (f/m/d)

As PMO Analyst, you partner with our PMO Lead to deliver governance, financial control, reporting and programme coordination across our complex lottery software and systems delivery programmes.

You independently own a portfolio of reporting, financial-tracking and risk-management workstreams, exercising sound professional judgement to resolve data and process issues before they reach the PMO Lead – playing a key part in maintaining data integrity and enabling informed executive decision-making across our global delivery teams.

This role suits an experienced PMO professional with strong attention to detail, analytical capability and structured thinking, who enjoys operating independently in a fast-paced, regulated technology environment. Fluent German and English are required.

Key Responsibilities:

• Own production of weekly and monthly programme status reports and dashboards for senior stakeholders.
• Independently validate and reconcile updates from project managers and workstream leads, resolving discrepancies directly before circulation.
• Own preparation of steering committee materials.

Planning & tracking

• Own programme schedules and milestone tracking, and independently track dependencies across projects and jurisdictions.
• Manage RAID logs end to end, and track actions and follow-ups from governance forums.
• Manage change control documentation and tracking.

Financial tracking & analysis

• Own budget tracking and cost reporting, and proactively flag forecast variances ahead of review cycles.
• Reconcile actuals vs. plan in collaboration with Finance.
• Manage purchase orders, invoices and vendor spend, and financial reporting across regions and currencies.

Risk & issue management

• Own programme risk and issue registers, independently assessing mitigation actions and escalation timelines.
• Lead risk workshops and ensure risk data stays current and decision-ready.

Governance & compliance

• Ensure documentation meets internal governance standards, including stage-gate documentation and approvals.
• Lead audit-preparation activities, and organise and safeguard programme documentation.

Resource & capacity reporting

• Own resource tracking tools and allocation-vs-demand analysis.
• Independently identify and report capacity risks and constraints.
• Own PM systems and reporting tools, and identify and implement reporting-automation improvements.
• Standardise templates and documentation formats, and drive lessons-learned capture and knowledge management.

Requirements

• 5+ years' experience in PMO, project coordination, or delivery support roles.
• Fluent German and English (written and spoken) – required, given regular interface with local Vienna stakeholders.
• Experience supporting complex technology or software programmes.
• Strong proficiency in Microsoft Excel (advanced), PowerPoint, and reporting tools.
• Experience working with PM systems (e.g., Clarity, Planview, Jira, MS Project, or similar).
• Strong analytical and data consolidation skills, with sound independent judgement.
• Project management certification (CAPM, PRINCE2 Foundation, or similar) is a plus.
• Experience in regulated industries (gaming, fintech, payments, telecom, etc.) is a plus.
• Financial tracking or budgeting experience.
• Fluency in German and English required.
• Strong attention to detail; analytical and numerate.
• Structured and process-oriented, with strong written and verbal communication skills.
• Ability to manage multiple priorities independently; proactive and solution-focused.
• High level of integrity and confidentiality.
