Position Summary

At Jet Aviation, we believe that a great employee experience starts with great HR support. As an HR Services Specialist (Part-Time, 50%), you will be the local face of HR in Vienna and the primary point of contact for employees and managers in Austria. In addition, you will provide administrative and operational HR support for our German employee population, working closely with colleagues and external partners to ensure smooth and efficient HR processes across both countries.

As part of our HR Services team, you will contribute to a positive employee experience by providing reliable, service-oriented HR support while ensuring compliance with local employment regulations and company policies.

The role offers flexibility in how the 50% workload is arranged, whether across 2.5 full days or shorter working hours spread over five days. Home office opportunities can be discussed depending on the agreed working arrangement.

Your Responsibilities Supporting Austria

• Main Local HR Contact: Act as the primary HR contact for employees and managers, providing guidance on employment conditions, collective labor agreements, working conditions, and company policies.
• Employee Support: Support workplace concerns, employee relations matters, disciplinary actions, and day-to-day HR inquiries in line with Austrian labor law and company policies.
• Legal Compliance: Ensure compliance with Austrian labor, social security, and payroll regulations, liaising with local authorities, works councils, and external partners as needed.
• Employee Lifecycle Administration: Manage HR administration throughout the employee lifecycle, including onboarding, employee changes, and offboarding.
• HR Digitalization: Support the modernization of HR processes by transitioning paper-based records into organized digital formats.
• Maintain Records: Ensure employee records are accurate, up-to-date, confidential, and properly maintained.
• Collective Labor Agreements: Maintain up-to-date knowledge of applicable collective labor agreements and support their consistent application.
• Audit Support: Prepare and organize documentation for internal audits, compliance reviews, and external inspections.
• Training & Compliance Tracking: Monitor and maintain records of mandatory training, certifications, and compliance-related documentation.
• Regional Collaboration: Partner with HR colleagues and business leaders across Europe to support and implement regional HR initiatives locally.

Your Responsibilities Supporting Germany

• Employment Documentation: Prepare employment contracts, amendments, employment certificates, and related documentation in accordance with German labor law and company standards.
• HR System Updates: Maintain accurate and up-to-date employee information within HR systems and databases.
• Absence & Time Tracking: Ensure accurate administration of employee absences, vacation requests, and attendance records.
• Payroll Administration: Prepare and submit monthly payroll-related information, including timesheets, allowances, bonuses, and employee changes.
• Employee Portal Management: Maintain HR-related content, forms, policies, and employee information on internal platforms.
• Onboarding & Offboarding: Coordinate HR administration and documentation related to employee hires and departures.
• Team Collaboration: Work closely with HR colleagues, managers, and operational teams to ensure efficient HR processes and a positive employee experience.

Your profile

• Bachelor's degree, apprenticeship, or equivalent professional qualification.
• Several years of experience in an HR administration, HR services, or HR generalist role.
• Solid knowledge of Austrian labor law and employment practices.
• Experience with HR administration across the employee lifecycle.
• Experience working with HR information systems (HRIS) is beneficial.
• Strong organizational skills with a structured and detail-oriented approach.
• Excellent communication and interpersonal skills.
• Service-oriented mindset and a passion for supporting employees and managers.
• Ability to work independently while collaborating effectively with local and international stakeholders.
• Fluent German language skills are essential; good English skills are required.

The minimum gross monthly salary for this position is EUR 3,000 based on full-time employment (100%). For this part-time position (50%), the salary will be adjusted on a pro-rata basis. A higher salary may be offered depending on qualifications and experience.
