Procurement & Purchasing Supervisor
Lincoln School is seeking a full-time Procurement & Purchasing Supervisor to join our team.
Position Summary
The Procurement & Purchasing Supervisor is responsible for coordinating the day-to-day operations of the Procurement and Purchasing function, ensuring the timely acquisition of goods and services while maintaining high standards of quality, cost-effectiveness, and customer service. Working closely with internal stakeholders and suppliers, this role plays a key part in supporting the school's operations and driving continuous improvement across procurement processes.
Key Responsibilities
Procurement & Purchasing Operations
- Coordinate local and international procurement and ensure timely delivery of goods and services.
- Review and process purchase requests in compliance with established procedures.
- Monitor purchasing activities to optimize cost, quality, and delivery.
- Maintain accurate purchasing records, documentation, inventory, and administrative information.
Supplier Management & Negotiation
- Develop and maintain effective supplier relationships.
- Source and evaluate vendors and negotiate pricing, contracts, and commercial terms ethically.
- Monitor supplier performance and identify opportunities for improvement.
Technology, Reporting & Process Improvement
- Leverage technology and automation to improve procurement processes.
- Prepare reports, dashboards, and KPIs.
- Analyze purchasing trends, spend, and supplier performance.
- Identify opportunities to improve workflows and internal service.
Team Coordination & Internal Customer Service
- Coordinate the procurement team and provide guidance, coaching, and day-to-day supervision.
- Partner with internal departments to understand and respond to procurement needs.
- Provide effective internal customer service.
Financial & Administrative Responsibilities
- Support budget planning and expenditure monitoring.
- Manage petty cash and financial controls in accordance with policies.
- Prepare financial reports and documentation as required.

Education
- Bachelor’s degree in a related field preferred.
Languages
- Intermediate to advanced English.
Experience
- Minimum 3 years of experience in procurement, purchasing, supply chain, or logistics.
- Team coordination or supervision experience preferred.
- Experience with ERP systems and Google Workspace/Microsoft Office.
- Experience preparing reports, dashboards, and purchasing metrics.
