Last Stop Moving is seeking an Office Manager to run the back office, handle payroll, and manage damage claims. The role supports Edmonton operations while building a remote South American team, coordinating with dispatch, sales, and a remote Move Coordinator.
You will ensure accurate payroll, timely settlements, and clean closeouts, while providing proactive problem solving and strong customer service. This is a remote, full-time contractor role with international scope.
Location: Remote. You must live in Colombia, Argentina, Peru, Bolivia, Chile, Ecuador or Uruguay.
Pay: CA$2,400 - CA$3,000 per month (about US$1,700 - US$2,100), based on experience, plus a two-tier bonus: CA$400 when damage claims stay at or under 1% of revenue, CA$800 when they stay under 0.75%.
Schedule: Monday to Friday, 9:00 AM - 6:00 PM Mountain Time (Canada), some Saturdays on rotation, and on call in the evening until the last crew of the day has closed out (in summer that can be 9 PM).
Contract: Full-time independent contractor, paid monthly in Canadian dollars.
This is the most important hire we will make this year. Our Office Manager runs the back office of the company: every job gets checked in and closed out, every crew gets paid right, every damage claim is handled from start to finish, and problems get solved before they reach the CEO.
You work with our dispatcher and crew leads in Edmonton, our sales team, and a remote team that you will help build. When something goes wrong at 7 PM on a Saturday, you are the one who fixes it.
Last Stop Moving is a fast-growing moving and storage company in Edmonton, Alberta, Canada. We do local and long-distance moves and portable storage, with a crew of movers and drivers that grows every season. Our office runs on Slack, Google Workspace, SmartMoving and many AI tools, and we are building a remote team in South America.
Run manager-on-duty every day: check-in calls with every crew lead at 10 AM and 3 PM, and a close-out on every job when the crew finishes: hours checked against the truck's GPS, materials and extra items billed, payment collected, and the paperwork complete in SmartMoving. Own payroll: check crew hours every day and prepare payroll every pay period, so every mover is paid right and on time. Own damage claims from start to finish: collect the facts and photos, talk to the crew, work out what we owe under the customer's coverage, get repair quotes, call the customer, settle within your approval limit, and track what causes claims so they stop happening. Check every booked move before it runs: rates, fees, crew notes and special items, so neither the crew nor the customer gets a surprise. Answer overflow calls when our sales team is out at estimates: take the details and book the estimate, so no lead goes to voicemail. Handle the logistics: out-of-town jobs, vendor and truck-rental invoices, supply orders, and calling in backup movers when a crew is short. Keep the weekly scorecard (jobs, revenue, hours, damage claims, reviews, missed calls) and tell the CEO what the numbers mean. Solve problems without waiting to be told. When a customer, crew lead or salesperson has a problem, it comes to you, and it reaches the CEO only with your recommendation. Lead the remote team as it grows, starting with our Move Coordinator.
3+ years running the day-to-day of a busy operation: an office, a call-centre or dispatch team, or a logistics or field-service company. You were the person problems went to. You are good with numbers: payroll, invoices, margins and percentages. You notice the $40 that doesn't add up. Calm, kind and firm with an upset customer, and you still protect the company's money. You decide. You bring the owner a solution, not just a problem. Organized to the point of obsession: checklists, notes and follow-through. You stay until the last crew of the day is closed out. Excellent spoken and written English (C1 or better). A plus: moving, logistics, trucking or field-service experience, a CRM like SmartMoving, payroll software, Google Sheets.
You want a fixed 9-to-5 and log off at 6 no matter what is still open. You need permission for every decision. You avoid hard conversations with customers or crew. You are looking for an entry-level admin job.
Setup you need: A quiet place to work, a headset, a fast connection, and backup internet and power. This is your only job during your shift.
We never ask applicants for money or bank details.
