Job description

MVA Legal Intake & Retainer Conversion Specialist

Accident Recovery Network | Full-Time & Part-Time Opportunities | English & Spanish Speakers

Position Overview

Accident Recovery Network is seeking experienced, results-driven MVA Legal Intake & Retainer Conversion Specialists to engage prospective clients, qualify motor vehicle accident (MVA) cases, conduct inbound and outbound calls, and convert qualified leads into signed retainers and successful live transfers.

This is a sales-focused role, not simply a phone-answering or administrative intake position. Success depends on the ability to build trust quickly, follow up consistently, handle objections, overcome hesitation, and guide qualified prospects toward taking the next step in the legal representation process.

We are looking for confident communicators who understand that generating interest is only the beginning. The real value comes from moving qualified prospects through the pipeline and turning opportunities into completed intakes, successful transfers, and signed retainers.

We welcome both full-time and part-time applicants, including qualified Spanish-speaking and bilingual English/Spanish callers who can communicate naturally and confidently with prospective clients.

Candidates with a strong background in MVA, personal injury (PI), legal intake, retainer conversion, or performance-driven outbound calling are encouraged to apply.

Employment Type & Schedule
  • Full-time and part-time opportunities available
  • Schedules based on availability, campaign needs, and performance requirements
  • Monday through Friday, with occasional Sunday availability depending on campaign needs
  • Coverage may include Eastern and Pacific Time zones
  • Daytime and evening calling schedules may be available
  • Consistent attendance, punctuality, and schedule adherence are required
  • Candidates must be available during their assigned calling and follow-up windows
Primary Responsibilities
1. Sales-Focused Intake & Client Engagement
  • Handle inbound calls from prospective MVA and personal injury clients.
  • Establish trust and rapport while maintaining control of the conversation.
  • Ask structured questions to understand the accident, injuries, treatment, and circumstances.
  • Identify qualified prospects and explain the next steps in the case-review process.
  • Build confidence and help eligible prospects move forward with consultations, transfers, or retainer signing.
  • Recognize opportunities to advance a qualified lead rather than simply record information and end the call.
2. Outbound Calling, Follow-Up & Conversion
  • Make outbound calls to new, aged, incomplete, and previously contacted leads.
  • Re-engage prospects who have not completed intake or signed their retainers.
  • Follow up on unsigned agreements, missing information, and incomplete documentation.
  • Handle objections, hesitation, confusion, and common concerns professionally.
  • Use persuasive, empathetic communication to help qualified prospects make informed decisions about the next step.
  • Follow approved call scripts and follow-up cadences while communicating naturally.
  • Maintain consistent follow-up through telephone, SMS, and email where authorized.
  • Work toward measurable conversion targets instead of focusing solely on call volume.
3. MVA Case Qualification

Evaluate potential cases against established qualification criteria, including:

  • Accident date and applicable jurisdiction
  • Liability and fault
  • Injury type and severity
  • Medical treatment and treatment timelines
  • Gaps in medical treatment
  • Insurance coverage and police-report availability
  • Vehicle and property damage
  • Existing attorney representation or prior attorney rejection
  • Potential statute-of-limitations concerns
  • Commercial vehicles, rideshare, pedestrian, motorcycle, bicycle, and hit-and-run cases
  • Other campaign-specific qualification and disqualification criteria

Accurate qualification is essential. Candidates must balance conversion performance with compliance and case quality, without misrepresenting eligibility or promising legal outcomes.

4. Retainer Conversion & Live Transfers
  • Guide qualified prospects through the electronic retainer-signing process.
  • Explain the process and next steps clearly without providing unauthorized legal advice.
  • Send retainers, forms, and required documentation.
  • Confirm document receipt and completion.
  • Follow up persistently on unsigned retainers.
  • Facilitate warm, properly qualified live transfers to the appropriate legal team.
  • Introduce the caller and summarize the case before transferring.
  • Confirm successful connections and recover missed or failed transfers through timely follow-up.
  • Help move qualified opportunities through the pipeline toward signed retainers and completed handoffs.
5. CRM & Pipeline Management
  • Maintain accurate lead records, call notes, dispositions, and case statuses.
  • Update pipeline stages, follow-up dates, and tasks promptly.
  • Document qualification decisions and disqualification reasons.
  • Track outstanding prospects and prevent qualified leads from being neglected.
  • Identify stalled opportunities and prioritize appropriate follow-up.
  • Follow confidentiality, data-security, and communication procedures.
Required Experience

Candidates should demonstrate:

  • At least five years of legal intake experience preferred, with substantial direct MVA experience strongly desired.
  • Hands-on experience with motor vehicle accident and personal injury inquiries.
  • Experience conducting inbound and outbound calls.
  • A track record of converting qualified prospects into signed retainers, consultations, or successful live transfers.
  • Strong objection-handling and follow-up skills.
  • Experience working toward measurable sales, conversion, or productivity targets.
  • Familiarity with MVA qualification and disqualification criteria.
  • Experience managing high volumes of prospective-client inquiries.
  • Strong CRM and pipeline-management skills.
  • Experience with electronic retainer and document-signing platforms.
  • The ability to communicate effectively with injured, distressed, hesitant, or uncertain callers.

Candidates with mass tort intake experience, personal injury law firm experience, or legal intake call-center/BPO experience will be particularly relevant.

Language & Communication Requirements

We are interested in candidates for both English-speaking and Spanish-speaking calling needs.

English-speaking roles
  • Fluent spoken and written English.
  • Clear, professional telephone communication and strong listening comprehension.
  • Ability to understand different speaking styles and regional dialects.
  • Confidence explaining information in simple, understandable language.
  • Accurate call documentation and professional written communication.
Spanish-speaking roles
  • Strong spoken Spanish and the ability to communicate naturally with Spanish-speaking prospects.
  • Confidence conducting intake, follow-up, qualification, and retainer-conversion conversations in Spanish.
  • Ability to understand prospects' concerns, explain next steps clearly, and handle objections professionally.
  • English proficiency appropriate to the assigned campaign and internal reporting requirements.

Bilingual English/Spanish candidates are strongly encouraged to apply. Please identify your language proficiency and the languages in which you can confidently conduct full telephone conversations.

An accent alone is not disqualifying. Clear communication, listening comprehension, professionalism, and the ability to avoid repeated clarification are what matter.

Applicants may be asked to complete a recorded voice assessment, mock intake call, outbound sales call, or language assessment.

Preferred Qualifications
  • GoHighLevel (GHL) or other legal CRM experience
  • Power-dialer or predictive-dialer experience
  • Automated SMS and email follow-up experience
  • Personal injury law firm or legal intake call-center experience
  • Experience with multistate MVA campaigns
  • Familiarity with signed-retainer and qualified-transfer campaigns
  • Experience with attorney referral or case-acquisition networks
  • Demonstrated success improving lead-to-retainer conversion rates
Core Competencies
  • Sales confidence and ethical persuasion
  • Strong objection handling and closing skills
  • Empathy without losing control of the conversation
  • Active listening and emotional intelligence
  • Confidence asking sensitive questions
  • Persistence without being aggressive
  • Excellent telephone presence
  • Strong follow-up discipline
  • Attention to detail and accurate documentation
  • Ability to prioritize qualified, high-potential opportunities
  • Comfort working toward measurable performance goals
  • Coachability and willingness to improve through feedback
  • Professional judgment and discretion
Performance Expectations

Performance will be evaluated using measurable indicators, including:

  • Outbound call volume and contact rate
  • Speed-to-lead and inbound answer rate
  • Completed intake and qualification rates
  • Consultation-booking and live-transfer rates
  • Retainer-send and signed-retainer conversion rates
  • Follow-up completion and recovery of stalled prospects
  • CRM accuracy and call quality
  • Schedule adherence and attendance
  • Prospect experience and compliance with established procedures

The priority is quality conversion, not activity alone. Candidates are expected to balance productivity with accurate qualification, professional communication, and consistent follow-through.

Compensation

Compensation will be based on experience, demonstrated skills, employment type, schedule availability, and prior performance.

Specific compensation and incentive details will be discussed during the hiring process.
