Job summary

Acadia is seeking a Data & Billing Specialist for a remote, part-time role of 4 hours per day to back up our finance leadership. You will master our billing engine Ordway and support the Head of Finance and Controller with data requests and reporting.

Based in EST, you will collaborate across teams, ensure data integrity across Ordway, QBO, and other tools, and drive data hygiene and process improvements with Ramp, Cube, and SaasAnt.

Qualifications

• Must have advanced proficiency in QuickBooks Online (QBO) and Google Sheets/Excel.
• Process automation experience to reduce manual tasks and boost efficiency.
• Experience with Ordway is a strong plus; familiarity with Ramp, Cube, Coupler, SaasAnt is beneficial.
• Understanding of international accounting nuances (e.g., transfer pricing) is a plus.
• AI-savvy; comfortable using Claude or similar AI tools to enhance data analysis.

Responsibilities

• Own Ordway: translate SOW terms into subscription models and manage daily Ordway tasks.
• Ensure seamless sync between Ordway and QuickBooks Online, maintaining the general ledger integrity.
• Assist Head of Finance and Controller with ad-hoc data requests, reporting and audit prep.
• Audit data cleanliness across financial systems to ensure 100% reliability.
• Use tools like Coupler and SaasAnt to manipulate/import data with high accuracy.
• Proactively identify and propose improvements to the tech stack (Ramp, Cube, Claude AI).

The Role in Context

Acadia is looking for a Data & Billing Specialist to serve as a critical backup and support pillar for our finance leadership. In this role, you will work closely with our Assistant Controller to master our billing engine (Ordway) and provide high-level data support to our Head of Finance and Controller.

We are a lean, high-output team. We don’t need a "task-taker"—we need a partner who is curious, proactive, and committed to data cleanliness and accuracy above all else.

What You’ll Do

• Ordway Ownership: Learn to translate SOW contract terms into subscription models within Ordway. Eventually, you will take the lead on daily Ordway management, with the Assistant Controller providing oversight.
• QBO Integration: Ensure the seamless sync between Ordway and QuickBooks Online (QBO), keeping our general ledger pristine.
• Leadership Support: Assist the Head of Finance and Controller with ad-hoc data requests, financial reporting, and audit preparation.
• Data Hygiene: Proactively manage and audit data cleanliness across all financial systems to ensure reporting 100% reliable.
• Data Integrity: Use tools like Coupler and SaasAnt to manipulate and import data with laser-sharp attention to detail.
• Process Improvement: Actively look for ways to streamline our tech stack (Ramp, Cube, Claude AI) and propose more efficient workflows.

Qualifications:

Technical Qualifications

• Must-Have: Advanced proficiency in QuickBooks Online (QBO) and Google Sheets/Excel. You should be comfortable with complex data manipulation.
• Process Innovation: Knowledge of and experience in automating manual processes to increase team efficiency.
• The "Plus" List: Experience with Ordway is a massive advantage. Knowledge of Ramp, Cube, Coupler, or SaasAnt will move you to the top of the list.
• Accounting Foundation: Understanding of international accounting nuances (like transfer pricing) is a plus.
• AI Savvy: Comfort using AI tools (like Claude) to enhance your productivity and data analysis.

Schedule & Coordination

• Commitment: 4 hours per day.
• Time Zone: You must be based in (or work during) US Eastern Standard Time (EST).
• The Overlap: You will spend your mornings (EST) training with our Assistant Controller (based in Kyiv) and your other availability supporting our Atlanta-based leadership team.
