Job summary

BRONZE HQ DISTRIBUTION AND TRADING FZE seeks an experienced PRO/immigration coordinator to manage UAE visa processing, Emirates ID, medical fitness, and related government procedures. You will coordinate with employees, authorities, and service providers to ensure timely completion of applications.

Candidates should have strong organizational skills, fluency in English (Arabic a plus), and the ability to handle multiple deadlines while maintaining confidentiality in a fast-paced environment.

Qualifications

  • Experience in UAE immigration, visa processing, or PRO functions.
  • Knowledge of UAE visa, Emirates ID, medical fitness, and gov procedures.
  • Familiarity with government portals and online applications.
  • Strong organizational and administrative skills with attention to detail.
  • Ability to manage multiple applications and deadlines.
  • Effective written and spoken English; Arabic a plus.

Responsibilities

  • Process new entry permits and e-visas.
  • Process change of status and residence visa cancellations.
  • Monitor employee movements with travel reports and entry/exit records.
  • Maintain immigration and government documents and records.
  • Coordinate Emirates ID applications and passport handling.
  • Prepare No Objection Certificates (NOCs) and official letters.
  • Ensure timely completion of all immigration processes.
  • Arrange medical fitness applications and health cards.
  • Perform other administrative tasks as assigned by management.

Job description

  • Process new entry permits and e-visas for employees in accordance with UAE immigration requirements.

  • Prepare and process change of status applications and ensure timely completion of related formalities.

  • Process residence visa cancellations for employees inside and outside the UAE.

  • Monitor and track employee movements using travel reports, entry and exit reports, and other relevant records.

  • Process designation changes and employee data modifications with the relevant authorities.

  • Maintain and regularly update immigration and employee-related government documents and records.

  • Process new establishment cards and renewal applications, ensuring all required documentation is complete.

  • Prepare, type, and process medical fitness applications for new and renewing employees.

  • Arrange and process Occupational Health Cards for employees where applicable.

  • Follow up on medical reports, fitness certificates, and related documentation to ensure timely completion.

  • Coordinate and arrange medical appointment schedules for employees.

  • Prepare and submit required Emirates ID applications and supporting documents for new and renewing employees.

  • Track the submission and collection of original passports required for residence visa processing.

  • Prepare No Objection Certificates (NOCs) and other official letters in accordance with company policies and requirements.

  • Maintain accurate records of visa, immigration, medical, and Emirates ID applications and their status.

  • Coordinate with employees, government authorities, medical centers, and relevant service providers to resolve application-related issues.

  • Ensure all immigration and government-related processes are completed accurately, efficiently, and within the required deadlines.

  • Perform other duties and administrative tasks as assigned by management from time to time.

Desired Candidate Profile
  • Previous experience in UAE immigration, visa processing, government relations, or PRO-related functions.

  • Good knowledge of UAE visa, immigration, Emirates ID, medical fitness, and related government procedures.

  • Familiarity with relevant government portals and online application systems.

  • Strong organizational and administrative skills with excellent attention to detail.

  • Ability to manage multiple applications and deadlines simultaneously.

  • Good communication and interpersonal skills.

  • Ability to maintain confidentiality when handling employee and company documents.

  • Proficiency in English, both written and spoken.

  • UAE driving license would be an advantage.

  • Knowledge of additional languages would be an advantage.

  • Good command of both written and spoken Arabic is preferred

  • Strong knowledge of MOHRE, ICP, GDRFA, and JAFZA procedures, systems, and government requirements.
