Job summary

SmartCrowd is seeking a Tenancy Operations Associate in Dubai to own the tenant lifecycle, ensuring flawless operations. You’ll be the primary contact for residents, handling compliance, contracts and daily inquiries with an organized, empathetic, and precise approach.

As part of a regulated FinTech platform, you’ll manage Ejari/DIFC registrations, rental payments, and move-in/out processes, while coordinating notices, renewals, and viewings.

Qualifications

• 1-2 years of experience with payment tracking, cheque handling and invoicing.
• Quick learner of Dubai regulatory requirements for tenancy and DIFC lease.
• Experience with property management software (Keyper/Tern) is a major plus.
• Strong financial administration and meticulous contract handling.

Responsibilities

• Onboarding and compliance: perform tenant compliance checks and prepare and sign tenancy contracts.
• Lease administration: complete Ejari and DIFC registrations and manage tenant operations.
• Financial oversight: track payments, collect rents, and manage renewal admin fees.
• Tenant experience: be the main contact for concerns, maintenance requests, and rent delays.
• Utility and logistics: assist with utilities registrations and move-in/out processes.
• Coordination: manage notices, renewals, viewings, and inspections.
• Communication and records: manage the inbox and maintain meticulous records.
• Listings & marketing ops: update property listings with accurate pricing, photos, and availability.

About the Role

Based in Dubai, you will be the primary point of contact for our residents, managing everything from compliance and contracts to daily inquiries. What You’ll Do

• Onboarding & Compliance: Conduct thorough compliance checks for all incoming tenants and manage the preparation and signing of tenancy contracts.
• Lease Administration: Execute Ejari and DIFC lease registrations and manage tenant-side operations on platforms like Keyper and Tern.
• Financial Oversight: Manage cheque and payment collection, track rental payments rigorously, and ensure the collection of renewal admin fees.
• Tenant Experience: Act as the main point of contact for tenant concerns, including maintenance requests, rent delays, and early terminations.
• Utility & Logistics: Assist tenants with utilities registration and manage the complete move-in and move-out process.
• Coordination: Manage notices, renewals, and coordinate with tenants for property viewings and inspections.
• Communication & Records: Own the [e-mail] inbox and maintain meticulous records to support the Operations Manager.
• Property Listings & Marketing Operations: Create, update, and manage property listings across key real estate portals and internal platforms, ensuring accurate pricing, photos, and availability details.

What We’re Looking For

• Education & Experience: 1-2 years of professional experience with a strong background in payment tracking, cheque handling, and invoicing. While experience in property management, real estate operations, or PropTech is a plus, candidates from other industries with strong financial administration skills are highly encouraged to apply.
• Quick Learner: Ability to quickly grasp Dubai Land Department (DLD) regulations, Ejari systems, and DIFC lease requirements.
• Tech Savvy: Comfortable learning and using property management software (Keyper/Tern experience is a major plus).
• Communication: Excellent interpersonal skills with the ability to handle conversations professionally and with empathy.
• Detail-Oriented: A "zero-mistake" mindset when it comes to contracts and financial tracking.
• Location: Must be based in Dubai, this is an on-site role.
