Role Context The Student Supervisor provides an important operational link between students, parents, teachers, pastoral teams and front-of-house staff. The role helps ensure that student movements, attendance information, punctuality records, interventions and rewards are captured accurately and communicated to the right people. The position also contributes directly to safeguarding and student wellbeing by maintaining awareness of student whereabouts and supporting timely follow-up when information is incomplete or requires escalation. Strong organization and approachable communication are essential because the role combines administrative accuracy with regular interaction across the school community.

Key Responsibilities
  • Communicate clearly and sensitively with students, parents and staff in person, by telephone, email and written correspondence.
  • Build constructive working relationships across pastoral, administrative and teaching teams.
  • Support reception staff and the attendance officer in confirming and monitoring student whereabouts.
  • Contribute to the safeguarding and welfare of students throughout the school day.
  • Maintain accurate pastoral information relating to attendance, punctuality, interventions and student rewards.
  • Ensure student data is timely, approved, reliable and suitable for operational use.
  • Follow up on missing or unclear information and coordinate with relevant staff to resolve discrepancies.
  • Monitor internal school events and identify potential clashes involving venues, year groups or schedules.
  • Support smooth coordination between pastoral activities, meetings and school events.
  • Record and update student information within relevant school systems.
  • Upload reward certificates to ePraise and prepare printed copies for Heads of Year and Heads of Key Stage.
  • Assist pastoral leaders with routine documentation and student-related administrative tasks.
  • Handle sensitive student information carefully and maintain appropriate confidentiality.
  • Support communication between school departments when student supervision or pastoral information requires action.
  • Help ensure agreed school procedures are followed consistently during day-to-day student supervision.
  • Provide practical administrative support during busy periods and school-wide activities.
  • Maintain organized records that support attendance monitoring, pastoral interventions and student recognition.

Ideal Profile Candidates should hold a school leaver 's certificate or equivalent educational qualification, with English and Mathematics at GCSE level or equivalent. Relevant previous experience is required, particularly in front-of-house, secretarial, clerical, office administration or school support positions. Experience gained within a school environment will be valuable because of the regular interaction with students, families and teaching staff. The role requires strong communication skills and a calm, professional approach when dealing with different members of the school community. Candidates should be comfortable handling information that may be sensitive or time-critical. Good organizational skills are important, together with the ability to maintain accurate records, manage several tasks at once and follow up consistently. A willingness to continue professional development and strengthen administrative and student support capabilities is also expected.
