About our School/Directorate/Team:

The Marketing Recruitment Admissions and Communications group is at the heart of attracting engaging and delivering exceptional student and stakeholder admissions. The Admissions Office handles over 20,000 applications to undergraduate and postgraduate programmes at our Scottish campuses each year, as well as offering support and advice to admissions colleagues at our Dubai and Malaysia campuses. Our aim is to ensure that all applicants receive a high-quality service that is timely and fair, with the applicant at the heart of everything we do.

Purpose of Role:

Heriot-Watt University is entering an exciting phase of development for its professional services. We have centralized and realigned our recruitment and admissions teams in Edinburgh and are developing a new structure for our Dubai Campus and recruitment hub.

Reporting to the Student Recruitment Manager or Admissions Manager, the successful candidate will coordinate and deliver activities that enable Heriot Watt Dubai to achieve its student recruitment and admissions targets for UG, PG, and research degrees. Responsibilities include delivering customer-facing events on and off campus, providing excellent customer service to prospective students, and processing admissions applications.

Based in the Student Recruitment and Admissions Team at our Dubai campus, you will provide exceptional customer service from first contact to enrollment, responding to inquiries promptly and effectively, and utilizing CRM systems. You will also support administrative functions related to applications.

Summary of Key Duties and Responsibilities

You will be part of the team providing high-quality frontline service to all enquirers, responding via phone or email, supporting prospective students throughout their journey, and assisting with application processing. You will work under the guidance of the Student Recruitment or Admissions Manager in Dubai.

Key duties and responsibilities:
  • Act as an ambassador for the University to prospective students, parents, and professionals.
  • Provide an exceptional applicant experience, utilizing CRM to track engagements.
  • Support lead capture and enquiry processes based on feedback.
  • Operate across various communication channels, including social media and virtual events.
  • Ensure timely, personalized responses that meet enquirers' needs.
  • Support and guide student interns on recruitment inquiries.
  • Assist with recruitment events, including open days, workshops, and fairs, providing information and guidance.
  • Maintain scholarship data for new students.
  • Manage recruitment event calendars, inquiries, and bookings, coordinating with the CRM team.
  • Support the Domestic Recruitment Manager with student ambassador schemes.
  • Establish and maintain external contacts to maximize recruitment potential.
  • Assist the Admissions Manager with application management processes.
  • Stay informed of the university's admissions policies and procedures.
  • Participate in marketing activities and other relevant work within the department.
  • Provide support during peak admissions periods and perform general administrative duties.
Education Qualifications & Experience:

Essential

  • Excellent literacy and numeracy skills or equivalent experience.
  • Experience in a multichannel customer experience environment.
  • Proficiency in IT packages like Microsoft Excel, Word, and Outlook.
  • Strong interpersonal skills.
  • Experience in face-to-face customer service and organizing recruitment events.
  • Proactive, professional approach with attention to detail.
  • Ability to handle confidential information and adapt to changing circumstances.
  • Problem-solving skills using initiative and creativity.
  • Provision of excellent customer service.

Desirable

  • Degree-level education.
  • Experience in administration within higher or secondary education.
  • Knowledge of UAE and international education markets.
  • Experience with databases and enquiry management systems.
