Job summary

Epergne Solutions in Abu Dhabi, UAE is seeking a Contract and Vendor Management Specialist to support IT/Digital Engineering teams by handling vendor contracts, renewals, costs, approvals, and access administration. This role requires 2-4 years in IT administration or contract management and strong coordination across procurement, finance, and security.

You will maintain contract trackers, prepare cost comparisons, monitor approvals, and ensure timely renewals.

Qualifications

• 2-4 years of experience in IT administration, vendor coordination, contract management, procurement support, or a related field.
• Experience with software licensing, vendor management, or contract administration is an advantage.
• Strong organizational and time-management skills with the ability to manage multiple deadlines.

Responsibilities

• Maintain records of vendor, software, licensing, and service contracts, including expiry dates, renewal terms, and owners.
• Track upcoming renewals and proactively follow up with relevant stakeholders.
• Coordinate with vendors, Procurement, and Finance on quotations, renewals, purchase orders, invoices, and payments.
• Review contract terms, SLAs, pricing, and renewal proposals; highlight discrepancies or concerns.
• Prepare cost comparisons, approval requests, and budget tracking reports.
• Monitor approval status and ensure timely completion of renewal activities.
• Process access card requests, renewals, transfers, and deactivations for team members.
• Coordinate with Security, Facilities, and IT teams to resolve access-related issues.
• Maintain accurate trackers, documentation, and dashboards for contracts, approvals, and access requests.
• Support audits by ensuring records and supporting documents are accurate and up to date.
