Job summary

Zegna in Dubai, United Arab Emirates, seeks a proactive project coordinator to support store development across retail, wholesale, renovation and maintenance programs. You will help define scope, timelines, deliverables and milestones, and maintain accurate schedules.

You will coordinate documentation, approvals and reporting, track project risks, manage communications between HQ, regional teams and external partners, and support site readiness and post-opening activity to ensure timely, quality

Responsibilities

• Support the planning, coordination, and execution of retail, wholesale, renovation, and maintenance projects across the regions.
• Assist in defining project scope, timelines, deliverables, and milestones.
• Maintain project schedules and monitor progress against key deadlines.
• Coordinate project documentation, approvals, and reporting throughout each project phase.
• Track project risks and escape issues where appropriate.
• Liaise with architects, consultants, contractors, landlords, and suppliers to ensure timely project execution.
• Coordinate communication between HQ, regional teams, Store Managers, and external partners.
• Schedule project meetings and distribute minutes and action plans.
• Follow up on outstanding actions to ensure timely completion.

Budget & Cost Control

• Support the preparation and monitoring of project budgets.
• Track project expenditures and maintain accurate cost records.
• Coordinate quotations, purchase orders, contracts, and order confirmations.
• Assist in reviewing supplier invoices and supporting budget reconciliation.
• Liaise with architects, consultants, contractors, landlords, and suppliers to ensure timely project execution.
• Coordinate communication between HQ, regional teams, Store Managers, and external partners.
• Schedule project meetings and distribute minutes and action plans.
• Follow up on outstanding actions to ensure timely completion.

Store Development Support

• Assist with new store openings, relocations, refurbishments, and boutique maintenance projects.
• Coordinate delivery schedules for fixtures, furniture, equipment, and construction materials.
• Support site readiness activities prior to store openings.
• Assist with site inspections and maintain project progress reports.

Reporting & Administration

• Prepare weekly and monthly project status reports.
• Maintain project trackers, documentation, and filing systems.
• Monitor project KPIs, budgets, and timelines.
• Ensure all documentation complies with internal governance and approval processes.

Cross-functional Collaboration

• Work closely with Retail, Finance, Procurement, Visual Merchandising, Facilities, IT, and Global Store Planning teams.
• Support the implementation of regional initiatives and process improvements.
• Contribute to continuous improvement of project management processes and reporting.
