Responsibilities

  • Welcome parents, students, visitors, contractors, and staff in a friendly and professional manner.

  • Provide accurate information in person, by phone, and via email.
  • Guide prospective parents during early student registration and admissions inquiries.
  • Explain admissions requirements and direct complex queries to Admissions.
  • Record admissions inquiries accurately in the MIS database.
  • Maintain contact details, enquiry notes, and follow-up requirements.
  • Answer, screen, and transfer incoming calls with proper etiquette.
  • Provide general clerical support and maintain reception area.
  • Update attendance registers and prepare class lists and reports as needed.
  • Photocopy, scan, print, and distribute school materials.
  • Coordinate visitor transportation and assist with directions.

Role Context

The Receptionist is the first point of contact for parents, students, visitors, employees, and external partners entering or contacting Bateen World Academy. The role combines customer service, school information, admissions support, telephone handling, data entry, and general administration. Professional and accurate front-office support will strengthen the school 's public image, help families navigate admissions and registration processes, and keep daily communication flowing efficiently across the academy.

Key Responsibilities
  • Welcome parents, students, visitors, contractors, and staff in a friendly and professional manner.
  • Represent the academy positively through courteous communication, appropriate conduct, and reliable service.
  • Maintain current knowledge of the school 's curriculum, year groups, facilities, tuition fees, admissions process, and key contacts.
  • Provide accurate general information in person, by telephone, and through email.
  • Guide prospective parents during the initial stages of student registration and admissions enquiries.
  • Explain basic admissions requirements and direct detailed cases to the appropriate Admissions team member.
  • Assist the Admissions team with inbound and outbound telephone calls.
  • Record admissions enquiries accurately in the Management Information System database.
  • Maintain complete contact details, enquiry notes, follow-up requirements, and supporting information.
  • Answer, screen, and transfer incoming calls according to approved telephone etiquette and referral procedures.
  • Take accurate messages when relevant colleagues are unavailable.
  • Respond to routine correspondence and direct non-routine requests to the correct department.
  • Maintain an organized, welcoming, and presentable reception area.
  • Ensure brochures, forms, pens, stationery, visitor materials, and other reception supplies remain available.
  • Provide general clerical and administrative support to school teams.
  • Update attendance registers and other routine school records when assigned.
  • Prepare class lists, contact lists, reports, and basic data summaries.
  • Complete word-processing, spreadsheet, database, and internet research tasks.
  • File documents accurately and retrieve records when requested.
  • Photocopy, scan, print, and distribute school materials.
  • Sort incoming mail and arrange internal distribution.
  • Support the preparation and completion of standard forms.
  • Attend relevant meetings and record or follow up on assigned actions when required.
  • Coordinate visitor transportation arrangements where necessary.
  • Assist parents and visitors with directions, appointments, and access to the appropriate staff member.
  • Protect confidential information relating to students, families, employees, and school operations.
  • Follow safeguarding, visitor management, security, and child-protection procedures.
  • Report safeguarding concerns immediately through the approved school process.
  • Work respectfully with students and families from diverse cultural and language backgrounds.
  • Maintain calm and professional communication during busy periods or difficult enquiries.
  • Support school events, open days, admissions activities, and other front-office requirements.
  • Assist management with additional administrative duties appropriate to the role.
  • Complete other reasonable tasks assigned by direct or dotted-line managers and supervisors.
Ideal Profile

The successful candidate will hold at least a secondary school certificate. Applicants should have a minimum of two years of experience in a customer-focused role. Previous experience in a school, education setting, reception office, admissions department, or similar environment is preferred. The role requires confident English communication in line with the school 's operational needs. Experience supporting students or families whose first language is not English would be valuable. Candidates should demonstrate professionalism, discretion, patience, accuracy, and a positive approach to problem-solving. Strong telephone etiquette, administrative ability, and confidence using databases, Microsoft Excel, word-processing software, email, and general office systems are required. The preferred candidate will respect all members of the school community and show genuine concern for children 's safety and well-being.
