Role Context
The PMO Analyst turns project and portfolio information into reliable management intelligence. Working across multiple initiatives, the role brings structure to planning, governance, performance tracking, risk visibility, and executive reporting while introducing automation that reduces manual PMO effort. The position has a strong technology dimension, using Power BI, advanced Excel, AI tools, and potentially Power Automate, SQL, and Python to strengthen forecasting, reporting quality, and portfolio-level decision support.
Key Responsibilities
- Support planning, governance, tracking, and reporting activities across the project portfolio.
- Maintain project plans, milestones, delivery schedules, action trackers, and portfolio dashboards.
- Monitor projects against approved scope, schedules, budgets, resources, KPIs, and delivery commitments.
- Consolidate project information into clear management and executive-level status reports.
- Prepare accurate portfolio updates covering progress, achievements, constraints, risks, and upcoming milestones.
- Support governance meetings, steering committees, and formal portfolio reviews with reliable data and documentation.
- Track actions, issues, risks, dependencies, and decisions through to resolution or closure.
- Follow up with project stakeholders when delivery commitments or reporting requirements are at risk.
- Ensure projects comply with established PMO governance standards, templates, processes, and reporting requirements.
- Analyze portfolio data to uncover performance trends, emerging risks, delivery gaps, and improvement opportunities.
- Build and maintain Power BI dashboards that provide management with meaningful portfolio visibility.
- Use advanced Excel to analyze project information, create structured reporting models, and support forecasting.
- Define practical KPIs and metrics for measuring project health, portfolio performance, and delivery effectiveness.
- Translate complex project data into concise recommendations for management.
- Conduct scenario analysis covering timelines, costs, resources, capacity, and expected delivery outcomes.
- Improve the accuracy, consistency, and efficiency of recurring PMO reporting.
- Identify reporting and data-management activities suitable for automation.
- Use AI tools to accelerate project reporting, meeting summaries, documentation, analysis, and risk identification.
- Develop practical generative AI use cases that improve PMO productivity without compromising reporting quality.
- Explore AI-enabled approaches to forecasting, risk analysis, issue identification, and management insights.
- Apply Power Automate or similar tools to streamline repetitive workflows where appropriate.
- Use SQL, Python, or other data technologies where required to improve analysis and reporting automation.
- Review existing PMO workflows and recommend process improvements based on measurable inefficiencies.
- Develop standardized templates, dashboards, workflows, trackers, and reporting mechanisms.
- Support PMO maturity initiatives and promote consistent project management practices across the organization.
- Monitor emerging AI and automation capabilities relevant to project and portfolio management.
Ideal Profile
- Bachelor 's degree in Business, Engineering, Finance, Information Technology, Data Analytics, or a related discipline.
- 3-7 years of experience in a PMO, project management, portfolio management, business analysis, or comparable environment.
- Strong practical background in project governance, status reporting, and performance tracking.
- Advanced Microsoft Excel capability for structured analysis, forecasting, and management reporting.
- Hands-on experience with Power BI or a comparable business intelligence platform.
- Strong analytical mindset with the ability to identify patterns, risks, and performance gaps from complex data.
- Experience developing meaningful project and portfolio KPIs.
- Familiarity with forecasting and scenario analysis covering cost, resources, schedules, and delivery.
- Exposure to AI or automation solutions within a business environment is highly valuable.
- Experience with Power Automate, SQL, Python, or related automation and data tools is advantageous.
- Comfortable experimenting with generative AI for practical project management applications.
- Experience supporting enterprise transformation or project portfolio management programs is beneficial.
- Knowledge of Agile, Scrum, traditional, and hybrid project delivery methodologies.
- PMP, PRINCE2, PMI-PMOCP, or another relevant project management certification is advantageous.
- Strong stakeholder communication and presentation capability.
- Detail-focused while retaining a clear understanding of broader business objectives.
