Role Context The People and Culture Coordinator supports the daily employee experience by ensuring HR administration, benefits, documentation and internal services are handled accurately and on time. The role acts as an important coordination point between employees, department leaders, the Director of People and Culture and the Learning and Development Manager. The position combines HR operations with employee engagement responsibilities. From probation confirmations and insurance administration to staff events, travel bookings, exit formalities and employee letters, the coordinator helps maintain efficient workforce processes while protecting confidentiality and supporting a positive workplace culture.

Key Responsibilities
  • Provide day-to-day administrative support to the Director of People and Culture and Learning and Development Manager.
  • Respond professionally to employee and candidate queries using current People and Culture policies and procedures.
  • Maintain strict confidentiality when handling employee records, personal information and sensitive HR matters.
  • Prepare employee name badges, identification cards and required replacements.
  • Coordinate airline ticket bookings for new hires, employees taking vacation, business travel and departing employees in line with company policy.
  • Manage additions and deletions related to medical insurance, Workman 's Compensation and life insurance coverage.
  • Coordinate probation evaluations by issuing forms on schedule and following up with department leaders for timely completion.
  • Arrange probation-related meetings with the Director of People and Culture and prepare confirmation letters when required.
  • Draft disciplinary correspondence and organize related meetings as directed by People and Culture leadership.
  • Coordinate employee exit procedures, schedule exit interviews and verify that all required documentation is completed before departure.
  • Prepare bank letters, embassy letters and other official employee correspondence upon request.
  • Submit and follow up on employee insurance claims through completion and payment.
  • Maintain accurate and orderly personnel filing systems for employee documents, memos, contracts, AMCs and other HR records.
  • Raise purchase requisitions and expense reports covering staff events, cafeteria operations, accommodation, utilities and miscellaneous People and Culture expenditure.
  • Coordinate employee engagement activities including birthdays, national celebrations, staff parties, sports activities and lifestyle programs.
  • Keep employee communication boards and ACE of Heartists information updated with current announcements and policies.
  • Support implementation and communication of hotel policies through employee noticeboards and internal communication channels.
  • Manage cafeteria operations by monitoring cleanliness, consumables and day-to-day readiness.
  • Maintain stock records for cafeteria supplies, locker-room items and Heartist Hub materials.
  • Monitor the condition and organization of the Heartist Hub, People and Culture store and filing areas.
  • Keep the People and Culture office and training room organized and professionally maintained.
  • Order stationery, decorations and other operational supplies as required.
  • Support the Learning and Development Manager with training documentation, IMRs and certificates of completion.
  • Participate in weekly Heart of the House inspections and employee accommodation checks.
  • Apply responsible practices for energy, water and paper consumption within People and Culture operations.
  • Support waste reduction, sustainable purchasing and compliance with hotel environmental procedures.
  • Prioritize multiple employee requests and administrative responsibilities effectively during busy operating periods.
  • Complete additional People and Culture duties assigned by the Director of People and Culture.
Ideal Profile

The position requires a college graduate or candidate with an equivalent qualification and at least one year of professional experience in People and Culture, Human Resources or an administrative coordination role. Candidates should understand HR policies, employee procedures and basic employment legislation while demonstrating sound judgment when handling confidential workforce information. Advanced proficiency in Microsoft Word, Excel, PowerPoint and Outlook is important because the role involves correspondence, records, reporting, expense documentation and frequent internal communication. Strong organization and time management are essential for coordinating insurance administration, employee documentation, travel arrangements, probation reviews, exits and staff activities simultaneously. Previous experience within a hotel or hospitality environment would be valuable. Familiarity with Accor systems or comparable hospitality software, benefits administration, insurance claims and employee event coordination would provide an additional advantage.
