Job summary

Synergies Group in Dubai, UAE is seeking an Order Handling Executive to oversee the full order cycle from PO receipt to delivery. The role requires coordination with Sales, Procurement, Logistics, Accounts, and suppliers to ensure accuracy and timeliness.

The ideal candidate has 2–4 years of experience in order handling or related fields, strong MS Excel/Word/Outlook skills, and familiarity with Microsoft Dynamics 365 Business Central. Immediate joiners preferred; UAE residency is required.

Qualifications

• Bachelor’s degree or equivalent qualification.
• 2–4 years of experience in Order Handling, Order Management, Procurement Coordination, Supply Chain, Trading Operations, or a similar role.
• Experience dealing with international suppliers/OEMs is preferred.
• Knowledge of PO processing, Incoterms, supplier documentation, payment terms, and basic logistics.
• Knowledge of MS Excel, Word, Outlook, and an ERP system such as Microsoft Dynamics 365 Business Central.
• Strong English communication, coordination, follow-up, and organizational skills.
• Willingness to provide hands‑on operational support for packaging and shipment preparation when required.

Responsibilities

• Manage the complete order cycle from customer PO receipt to final delivery and closure.
• Review POs, quotations, supplier offers, pricing, quantities, Incoterms, payment terms, and delivery requirements.
• Coordinate with local and international suppliers/OEMs for POs, order confirmations, production status, readiness, and documentation.
• Coordinate and verify commercial invoices, packing lists, COO, COC, MTCs (Basic understanding), shipping marks, and other required documents.
• Coordinate supplier payments and required supporting documents with the Accounts team.
• Work closely with the Logistics team for collection, dispatch, and delivery arrangements.
• Maintain accurate order status in the ERP system and internal trackers.
• Identify discrepancies, follow up on pending matters, and escalate delays or critical issues when required.
• Maintain proper filing and traceability of order-related documents and correspondence.
• Provide backup support to the Packing Team when required, particularly during employee absence, including basic packing, labeling, marking, and shipment preparation activities.
