Job summary

Dr Scent in the United Arab Emirates seeks an Operations Support Assistant to back the Operations Manager with daily coordination, task tracking, reporting, and inter-department follow-up to ensure timely completion of activities.

You will liaise with production, warehouse, logistics, procurement, sales, refilling, retail kiosks, and customer service; track orders and stock, maintain action trackers, support SOPs, and help close customer issues and inventory reviews.

Responsibilities

• Support the Operations Manager in daily coordination, tracking tasks, preparing reports, and following up with departments to ensure timely completion.
• Coordinate with production, warehouse, logistics, procurement, sales, refilling, retail kiosks, and customer service on daily operational needs.
• Track orders, stock, production schedules, transfers, and deliveries; escalate delays or shortages.
• Maintain action trackers for management decisions, projects, and departmental tasks.
• Follow up on pending purchase requests, supplier deliveries, and operational documentation.
• Prepare daily and weekly operational reports, KPI summaries, and updates on outstanding issues.
• Update and verify ERP records within assigned access permissions and report discrepancies.
• Coordinate meetings, record minutes, and follow up on agreed actions.
• Support preparation and implementation of SOPs, checklists, and process improvements.
• Follow up on customer complaints and service issues until closure.
• Support stock reviews, including slow-moving items.

• Action Trackers and Project Management: Maintain action trackers for management decisions, projects, and departmental tasks.
