Role
The Operating Supplies & Equipment (OS&E) Manager is responsible for coordination of all operational and logistical processes impacting the OS&E procurement process for new openings and transitions. Working closely with several corporate leads, including Design, Technical Services, Finance, New Openings and Operations teams, the OS&E Manager is a strategic leader with strong communications and organisational skills, attention to detail, a proven track record of successful project management and a thorough understanding of ultra-luxury hotel operations. This role ensures new openings are on brand and on target with OS&E timeline and budget.
Responsibilities
- Lead and manage the end-to-end OS&E process for new hotel/resort openings and transitions.
- Coordinate and communicate methodically and effectively both verbally and in writing with various teams to ensure consistent progress of the project and OS&E process.
- Partner with Design, Technical Services, New Openings and Operations teams from project kick-off through opening.
- Review project plans and operational requirements to determine OS&E needs, layouts, specifications and par levels.
- Develop and manage OS&E budgets, schedules and procurement plans in line with Aman brand standards.
- Coordinate mock-up room preparation, reviews and OS&E approvals.
- Maintain accurate OS&E data, systems and reporting throughout the project lifecycle.
- Lead OS&E meetings and collaborate across departments to complete the full hotel OS&E to ensure timely project delivery.
- Work closely with the procurement partners on sourcing, supplier management, negotiations, logistics, quality control, alternative OS&E options, purchase order administration, warehouse management, shipping and logistics for timely delivery and installation.
- Build relationships with local and international to identify bespoke solutions aligned with the property’s design concept and brand standards.
- Analyse and interpret data and prepare reports for high level review and decision-making by corporate leads.
Requirements
- 3-5 years of hospitality procurement experience specifically handling OS&E pipelines in a pre-opening hotel or resort environment
- Strong knowledge of OS&E procurement, budgeting, sourcing and supplier management
- Proven experience managing shipping, customs clearance, warehousing, logistics and installation processes
- Solid understanding of hotel operations; on-property operational experience and exposure to project coordination and budget processes in opening properties strongly preferred
- Strong organisational and follow-up skills, with the ability to manage multiple projects and deadlines simultaneously
- Excellent stakeholder management skills and experience working across functions, regions and cultures
- Proficient in Microsoft Office and project management/collaboration platforms
- Strong analytical, problem-solving and reporting capabilities with a keen attention to detail
- Excellent verbal and written communication skills with a proactive and results-oriented approach
